Essential Job Responsibilities
- Taking refill orders for IOD and compound orders.
- Compounding: payment collection, claim creation, ecw documentation, and order placement through appropriate portals.
- Handling IOD ED drugs: payment collection, claim creation, ecw documentation, and TE forwarding for techs to dispense.
- Triage pharmacy-related calls regarding order tracking.
- Processing authorization requests.
- Filing IOD rx logs.
- Managing drug pre-collection: cash and buy/bill services (T-pellets, Aveed, Xiaflex, etc.).
- Scheduling buy and bill drugs.
- Ordering compounded intravesical therapy and managing inventory tracking in PODIS.
- Conducting refill campaigns - IOD and compounds.
- Enrolling patients in foundation programs.
- Reviewing daily unposted payments.
- Tracking daily inventory counts of all drugs.
- Updating reporting for metric trackers.
- Assisting the pharmacy coordinator with authorization and retro-authorization needs.
- Project management as assigned by the pharmacy manager.
Education and Experience
- A high school diploma or equivalent (GED).
- Minimum one year of administrative assistant experience in a medical office setting.
Knowledge and Performance Requirements
- Knowledge of medical terminology and office procedures.
- Knowledge of grammar, spelling, and punctuation to type from draft copy and review and edit reports and correspondence.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
- Knowledge of medical tasks that include RX prior authorizations.
- Familiarity with healthcare systems, regulations, policies, and functions.
- Knowledge of infection control and safety standards.
Skills
- Proficiency in operating office equipment.
- Organizational skills, including time management, prioritization, multitasking, and problem-solving.
- Common computer skills, including Microsoft® Excel, e-mail, Internet, and Microsoft® PowerPoint.
- Ability to type 40 words per minute using word-processing software.
- Ability to read, understand, and follow oral and written instructions.
- Ability to sort and file materials correctly using alphabetic or numeric systems.
- Ability to communicate clearly and concisely.
- Ability to establish and maintain effective working relationships with patients, physicians, and other clinical staff, and the public.
Equipment
- Office machinery including computers, scanners, and payment collections.
Work Environment
- Office environment.
- Frequent contact with staff and patients.
Mental/Physical Requirements
- Manual dexterity for office machine operation including computer and clinical equipment.
- Stooping, bending to handle patient’s mobility to complete errands or deliveries, or sitting or standing for extended periods of time.
- Stress can be triggered by multiple staff demands and deadlines.
