PBX Operator
Key Responsibilities
- Manage all incoming and outgoing calls through the Private Branch Exchange (PBX) system.
- Answer calls promptly, professionally, and in a friendly manner, adhering to the resort's communication standards.
- Professionally manage incoming phone calls, chats, and emails, directing inquiries to the appropriate departments or providing accurate information as required.
- Direct calls to the appropriate resort departments or personnel, including front desk, housekeeping, concierge, and room service, while maintaining accuracy in routing.
- Aid guests with inquiries, room service orders, wake-up calls, and other requests promptly, ensuring guest satisfaction and meeting their needs.
- Facilitate internal communication between resort departments and Team Members, efficiently relaying messages and requests.
- Follow established protocols to handle emergency calls and promptly notify relevant personnel, including security and management, when necessary.
- Demonstrate the ability to handle multiple calls simultaneously and manage busy call periods effectively.
- Maintain accurate records of call logs, messages, and any relevant information using the resort's communication tools and software.
Education, Skills, And Experience
- A high school diploma or equivalent is required.
- Additional education or training in hospitality or communication-related fields is preferred.
- Excellent verbal communication skills, including a pleasant and articulate phone manner.
- A strong customer service orientation with the ability to handle calls professionally and empathetically.
- Proficiency in operating PBX systems and telephone switchboards.
- Strong multitasking abilities to efficiently manage multiple calls and inquiries.
- Familiarity with resort services, facilities, and local attractions to provide guests with accurate information.
- Prior experience as a PBX Operator or in a similar communication-related role is preferred.
- Experience in a resort or hospitality environment is beneficial.
- Able to work weekends, holidays, overtime, and rotating schedules.
Physical Requirements
- Able to reach periodically.
- Visually look at a computer for extended periods.
- Sit and use the computer for hours at a time.
- Subject to environmental conditions, work activities can occur inside and outside.
- Repetitive hand motions, such as typing.
