Position Overview
The Payroll Administrator is responsible for the accurate and timely processing of multi-state U.S. and global payroll for a mid-sized, highly collaborative organization. This role supports a high-touch payroll and benefits team, ensuring compliance with complex regulatory requirements while delivering exceptional service to employees.
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field preferred
- 3–5+ years of experience in payroll or related accounting/finance roles
- Must have experience processing multi-state payroll; global payroll exposure preferred
- Must have experience with payroll reconciliations, auditing, and compliance processes
- Must have experience managing payroll deductions including taxes, garnishments, and benefits
- Experience working in a high-touch, service-oriented payroll environment
- Familiarity with general ledger and ability to run and analyze payroll reports
- Experience with payroll systems such as UKG (preferred), ADP, Workday, Paychex, or similar
- Strong proficiency in Microsoft Excel
- High level of discretion and ability to handle confidential information
- Strong communication and customer service skills
- No direct supervisory responsibilities
Key Goals of Role
- Ensure accurate, compliant, and timely payroll processing across multiple jurisdictions
- Maintain high levels of data integrity, audit accuracy, and regulatory compliance
- Deliver “white-glove” payroll support to employees and internal stakeholders
Key Responsibilities
- Process bi-weekly multi-state U.S. payroll and monthly global payroll
- Maintain and update employee payroll records and master data files
- Set up payroll for new hires, ensuring compliance with federal, state, and international regulations
- Administer payroll changes, timekeeping data, direct deposits, and special payments (e.g., manual checks, stipends)
- Manage payroll deductions including taxes, benefits, and garnishments
- Perform payroll reconciliations, including general ledger and retirement/pension reporting
- Complete quarterly and annual tax filings and required payroll reporting
- Monitor and reconcile payroll-related bank transactions
- Collaborate with HR, accounting, and third-party vendors to resolve payroll discrepancies
- Utilize HRIS and payroll systems to audit data, analyze issues, and improve processes
- Maintain data integrity through reporting, audits, and system checks
- Support employees with payroll-related inquiries and provide training on system functionality (time entry, PTO, benefits updates)
- Assist with open enrollment and employee payroll/benefit changes
- Participate in audits, reporting, and special payroll-related projects
- Work within a collaborative, team-oriented environment that requires strong cross-functional coordination
- Maintain strict confidentiality of payroll and employee data
