About the role
The Payment Specialist is responsible for the accurate, timely application of payments and adjustments to patient accounts across all programs.
Requirements
- High school diploma or equivalent required; Associate’s degree preferred
- Experience in accounts receivable preferred
- Experience working with medical insurance and/or posting payments required
- Experience using medical billing software and/or electronic medical records (EMR), and Microsoft Office applications required
- Ability to maintain confidentiality
Responsibilities
- Abide by and support 3HC’s Compliance Program and Code of Ethics, ensuring adherence to all applicable laws and regulations
- Create positive experiences for internal and external customers (patients, families, referral sources, vendors, community, and agency staff)
- Display courtesy, tact, and knowledge of agency services in all interactions
- Manage the payment process:
- Review remittance files and explanation of benefits (EOBs)
- Verify automatic posting of payments in EMR
- Record adjustments as needed
- Post cash and other non-electronic remits per daily deposit log
- Reconcile posted payments to bank totals monthly
- Meet monthly deadlines for closing all payment batches
- Notify supervisor when visit reason codes, reimbursement, or contractual amounts need revision
- Respond appropriately to patient/family requests and agency staff regarding patient accounts
- Post refunds as needed and document activity in EMR
- Complete adjustments, transfers, and refunds within three (3) business days and prior to month-end
- Assist supervisor with training and task assignments for payment/cash applications
- Maintain deposit logs in shared folder
- Demonstrate personal and professional growth:
- Attend and participate in workshops, seminars, and webcasts to stay current on rules and regulations
- Conduct individual reading and research
- Recommend educational opportunities for staff and encourage participation
- Promote cost-effectiveness by monitoring waste and ensuring proper use of supplies and equipment
- Adhere to 3HC’s Personnel Policy and perform other duties as assigned to support agency operations and growth
