About the role
The School of Medicine, General Pediatrics is seeking a Patient Service Coordinator/CMA (PSC/CMA) to offer friendly, courteous, and confidential assistance to patients, ensuring positive experiences while seeking care at all Johns Hopkins Pediatric Specialty Network clinics. The PSC/CMA will maintain accurate patient information—both geographical and clinical—to facilitate patient encounters. This role reports to Network Supervisors and the Ambulatory Service Manager, who oversee administrative/clinical supervision, staff development, and orientation to policies and procedures.
Responsibilities
- Patient Service Coordinator (PSC) duties:
- Verify and correct missing or incorrect registration information (e.g., address, phone, insurance, guarantor, primary contact, primary care provider).
- Collect time-of-service payments, issue receipts, and electronically close out the cash drawer at the end of the day.
- Assist with basic insurance and third-party queries.
- Guide patients to appropriate resources for billing concerns or financial assistance.
- Call to obtain missing labs, imaging reports, growth charts, and other required information prior to the appointment.
- Scan lab results, imaging reports, in-clinic testing results, and EKGs into the patient chart as appropriate.
- Print lab/imaging orders and direct patients to local testing resources.
- Relay information to patients regarding preparation for laboratory tests and examinations.
- Print After Visit summaries and referrals for other services upon request.
- Assist patients or family members in completing forms (e.g., Medical Information Releases, FMLA, School Medication Administration forms).
- Print patient demographics for hospital-bound patients and coordinate transport as needed.
- Adjust appointment times based on provider preference and patient availability to close scheduling gaps.
- Coordinate visits within or between departments based on provider instructions.
- Schedule patients for medical consultations across Johns Hopkins Pediatrics network sites and downtown locations using computerized systems.
- Telephone patients to obtain accurate pre-registration information and confirm appointments.
- Manage incoming and outgoing fax documents and scan to patient charts as appropriate.
- Prepare and print daily schedules and labels by department as needed.
- Maintain inventory of office supplies, registration forms, and Hopkins privacy forms monthly.
- Work with IT help desks (general and EPIC) to resolve computer and software issues.
- Collaborate with building management regarding space and environmental issues.
- Report deficiencies during Infectious Disease and Environment of Care Rounds; correct simple deficiencies and coordinate with building management for others.
- Clean and sanitize waiting room furniture at the end of the day.
- Perform any other duties as assigned.
- Certified Medical Assistant (CMA) duties:
- Participate in patient care under the direct supervision of the physician and in collaboration with the healthcare team.
- Display responsible behaviors, communicate effectively, and function as a team member.
- Maintain inventory of clinical supplies and equipment; monitor expiration dates.
- Follow HEIC and EOC protocols to ensure clinic compliance and patient safety.
- Demonstrate problem-solving skills related to patient care; provide guidance and act as a role model for other medical assistants.
- Obtain and record patient vital signs in Epic; monitor patient status and report abnormal findings.
- Review medication lists with patients, document in Epic, and complete prescription refill requests.
- Maintain aseptic techniques and infection control during clinical duties.
- Perform specialty-specific procedures safely and efficiently according to Clinical Practice Policy and Procedure.
- Obtain, manage, and transport specimens; perform quality control for waived testing.
- Administer vaccinations as directed.
- Recognize emergency events and implement emergency procedures according to clinical guidelines.
- Travel to other sites as needed.

Minimum Qualifications
- High school diploma or equivalent.
- Certification/registration as a Medical Assistant (e.g., CMA, AAMA, RMA, AMT, NAHP) required.
- One year of work experience in customer service.
- Additional education may substitute for required experience as permitted by JHU equivalency formula.
