About the role

This role supports the practice by coordinating daily administration for doctors, visitors, and patients, ensuring an unsurpassed patient experience by linking the doctor and other practice functions. The position helps establish the practice as the premier destination for vision needs in the community.

Responsibilities

• Greets patients without delay.
• Promptly answers the telephone in a friendly and courteous manner.
• Optimizes patient satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by phone.
• Keeps patient appointments on schedule by notifying the doctor/provider of patient arrival, reviewing service delivery, and reminding providers of delays.
• Facilitates reminder calls for appointment confirmations and order pickup notifications.
• Records and updates financial information, collects patient charges, and files, collects, and expedites third-party claims.
• Maintains business office inventory and equipment by checking stock, anticipating needed supplies, and verifying receipt of supplies.
• Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information in accordance with HIPAA.
• Determines medical and vision insurance eligibility in accordance with patients' current plan coverage.
• Ensures all office systems are maintained and operates a safe working environment for team members and patients.
• Adheres to policies and procedures, reporting needed changes.
• Works weekends and evenings as needed to support business operations.
• Adheres to attendance and timekeeping requirements, maintains proper dress code, and performs other administrative tasks as assigned.

Requirements

• High School graduate or equivalent.
• 2+ years of office experience in a healthcare setting.
• Strong customer service skills (internal and external).
• Strong communication and listening skills.
• Problem-solving ability and organization skills.

Preferred Qualifications

• Familiarity with in-store technology, such as point-of-sale, patient record systems, and other software applications.
• Basic knowledge of services, products, vision insurance plans/coverage, and office operations.
• Strong interpersonal skills.
