About the role

The Patient Care Coordinator (PCC) position at New England Cancer Specialists (NECS) in Westbrook is responsible for scheduling and coordinating all internal and external appointments and procedures for patients. The role involves managing and resolving appointment conflicts proactively, completing non-clinical orders within patient charts, maintaining physician schedules, answering phones, and providing superior customer service.

Responsibilities

  • Schedules appointments for patients either by phone or in person, following all scheduling guidelines.
  • Works within electronic medical record (EMR) to ensure all appointments are scheduled to match physician/clinician availability with patient’s preferences in terms of date and time.
  • Follows all urgent/emergency protocols and completes all non-clinical orders entered in patient charts, including but not limited to all appointment types, lab visits, molecular testing, imaging, outgoing and incoming referrals, internal and external procedures, hospital admissions, tumor board submissions, communication with outside offices and providers, and seeking and scanning medical records.
  • Communicates clearly and professionally to patients and staff, accurately communicating all necessary instructions for upcoming appointments and scans or procedures.
  • Returns all phone calls by the end of the same business day and communicates consistently and frequently with provider lead teams about changes to or affecting patient care plans to ensure best possible care for every patient.
  • Participates in weekly team meetings, ensures provider’s schedules are blocked in the EMR clinic schedule, and assists administrative/physician staff during peak times, vacations, and illnesses.
  • Aids in training new staff and assists in sorting and routing incoming mail and faxes, scanning records into EMR as needed.
  • Maintains a pleasant, professional demeanor under stressful conditions, working with a wide range of patient personalities.

Requirements

  • High school diploma or GED required.
  • Certificate of completion from an accredited program for Medical Assistant or Medical Secretary Certification preferred.
  • Minimum one year prior clerical and/or Medical Secretary experience in a healthcare field, oncology experience preferred.
  • Knowledge and application of medical terminology required.
  • Previous experience with electronic medical record systems required.
  • Exceptional customer service experience required.
