Shift: Evening Shift (Every other weekend Fri–Sat, 11:00 p.m. – 7:30 a.m.)
Responsibilities
- Greet patients upon arrival and enter them into the patient tracking system; distribute patient information according to hospital policy and compliance regulations.
- Obtain state-issued photo ID and identify/select the correct medical record number for existing patients or create new records for unlisted/new patients.
- Validate and enter patient demographic information and primary care physician details into the hospital information system, ensuring accuracy.
- Understand insurance payer requirements, obtain insurance referrals/forms, verify patient insurance eligibility/benefits, and secure necessary authorizations.
- Verify physician scripts for completion and policy compliance, including converting ED registration level of care/status changes to inpatient or observation.
- Utilize online programs for Medicare compliance, checking diagnosis codes correlating to testing ordered by physicians, and obtain Advance Beneficiary Notices (ABN) when required.
- Resolve system-generated Work Alerts and Work Queues omissions/errors within 72 hours of admission.
- Collect self-pay deposits, co-payments, deductibles, and outstanding prior balances; post payments into the hospital system and provide receipts.
- Assist patients/guarantors with financial assistance information and refer to financial counseling as needed.
- Distribute information on the No Surprises Act according to policy.
- Explain and obtain legal signatures for consents for treatment, level of care/status changes, and payments as required by federal/state law.
- Ensure admission/observation paperwork is available and transported to the correct nursing unit per policy.
- Scan all consents, cards, and scripts into the document imaging system and band patients with wristbands per department policy.
- Coordinate with the clinical team to ensure patient safety and efficient service delivery.
- Provide flexibility to support any outpatient registration area to maximize patient flow and customer service excellence.
- Understand and implement downtime and disaster protocols as necessary.
- Manage time effectively to perform complete registrations while meeting departmental productivity and accuracy standards.
- Participate in assigned educational/skills development activities and performance improvement initiatives.
- Perform other duties as assigned by the manager.
Requirements
- High school diploma or equivalent combination of education and experience.
- Minimum of one (1) year of patient access experience in a hospital or clinic environment; experience in a complex, multi-site environment preferred.
- HFMA CRCR or NAHAM CHAA certification required within one (1) year of hire.
- Medical terminology and knowledge of diagnostic/procedural coding.
- Experience with insurance verification, including explaining benefits and securing authorizations.
- Effective written and verbal communication skills.
- Ability to multi-task, prioritize, and meet timelines.
- Customer service experience and strong clerical/computer skills.
- Basic understanding of Microsoft Office (Outlook, Word, PowerPoint, Excel).
- Excellent interpersonal skills for dealing with peers, internal/external customers.
- Accuracy, attention to detail, and time management skills.
- Willingness to learn other registration-related tasks to meet operational demands.
- Ability to operate in a collaborative, shared leadership environment.

Physical and Mental Requirements
- Operates in a typical office environment (well-lit, temperature-controlled, hazard-free).
- Frequent communication (in person and by phone) with individuals across all locations.
- Manual dexterity for keyboard operation, repetitive actions, and fine manipulations.
- Speech and hearing required for extensive telephone and in-person communication.
- Near visual acuity; subject to eyestrain from prolonged CRT screen use.
- Low to moderate noise level.
- Ability to set/organize work priorities and adapt to frequent changes in a potentially stressful environment with diverse personalities/work styles.
- Occasional lifting/carrying of approximately 15 pounds and/or pushing patients in wheelchairs up to 440 pounds.
