About the Role
The PT Staff Assistant II performs standard and some advanced administrative duties, including receiving and logging information, preparing correspondence, maintaining databases, and providing departmental support. This role may also coordinate office activities and meetings and provide direct support to staff at varying levels.
Responsibilities
- Operate office equipment such as computers, printers, photocopiers, facsimiles, scanners, or calculators.
- Provide information and assistance with routine and non-routine tasks, resolving problems for faculty, staff, students, and visitors.
- Deliver excellent customer service support.
- Manage procurement, budget, and accounts, reconciling expenses and communicating with internal and external vendors.
- Monitor expenses charged against department accounts and track budgets using spreadsheets.
- Reconcile ProCard and T&E card expenses.
- Maintain budget reports for purchases, encumbrances, and remaining balances.
- Create travel and expense reports for department staff.
- Handle requisitions, purchase orders, and ordering business cards for division staff.
- Provide technical support for students with computers, laptops, phones, printers, copiers, and scanners.
- Manage inventory of assets and supplies, sourcing vendors, and submitting invoices.
- Participate in developing new programs and maintaining departmental records, student files, and other documents.
- Create procedures to streamline office functions.
- Recruit, train, and supervise student workers.
- Oversee suite appearance through the facilities department as needed.
- Assist with Information Sessions, ensuring sign-in sheets, certificates, and signs are posted.
- Submit marketing requests, work requests, and handle general maintenance requests for the division.
- Order office and cashiering supplies to support daily operations.
- Generate reports to help track, evaluate, and complete tasks, such as syllabus and vitae checks, adjunct leave hours, important dates, rosters, and academic advising rosters.
- Perform other reasonable, related duties as assigned.
Qualifications
- High school diploma or GED.
Skills
- Strong attention to detail.
- Proficiency with common office software (e.g., Microsoft Word, Excel, PowerPoint).
- Strong oral and written communication skills.
- Excellent customer service skills.
- Knowledge of general office practices and procedures.
- Ability to multi-task and prioritize work assignments.
Physical Abilities
The work is primarily sedentary, involving sitting comfortably. However, there may be some walking, standing, bending, carrying light items (e.g., papers, books, small parts), or driving an automobile. No special physical demands are required.
Work Schedule and Conditions
Work is performed in a climate-controlled office with minimal exposure to safety hazards. Equipment used includes a PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, and other general office equipment. Interface with internal and external contacts is required.
Pay
Hourly pay rate is $15.92.
