About the role

A Part-Time Office Administrator who creatively and efficiently manages office procedures, light inventory/warehouse tasks, and provides excellent customer service for both internal and external customers.

Responsibilities

  • Maintain and protect assigned Company assets.
  • Represent the Company in a professional manner to maximize client satisfaction.
  • Work in compliance with Company policies and procedures, including safety manuals, prioritizing safety.
  • Ensure accurate and timely documentation, including timecards.
  • Be available to work outside of or in addition to normal business hours.
  • Work proactively and positively with co-workers.
  • Communicate effectively and timely to resolve inquiries or requests.
  • Provide general administrative support, including office supplies, petty cash management, filing, and data entry.
  • Maintain facility upkeep and perform maintenance as needed.
  • Review project folders and provide sales admin support, including change orders, invoicing, bid support, and delivery/shipping.
  • Accurately document and store project data, including POs, change orders, and Notice of Completions (NOC).
  • Reconcile jobs and process returns prior to closeout.
  • Create new Sales Orders for Direct Ship customers.
  • Handle light warehouse and inventory tasks:
    • Shipping & Receiving functions.
    • Scanning packing lists to Supply Chain Services daily.
    • Staging & tracking installation and service materials.
    • Tracking and maintaining inventory, including quarterly inventory counts.
  • Coordinate travel arrangements for overnight work as needed.
  • Manage company apparel orders and safety equipment.
  • Maintain conference rooms, training room, kitchen, break areas, and meeting spaces.
  • Perform other duties as assigned.

Requirements

  • High School diploma or equivalent.
  • Proficiency with Microsoft Office (Excel, Word, Outlook) and computerized business systems, demonstrated by a minimum of 2 years of experience.
  • 1 year of experience with general administrative duties in an office environment.
  • 1 year of customer service experience.
  • Valid Driver’s license with an acceptable driving record.

Preferred Qualifications

  • Some understanding of commercial construction work environments.

Physical Demands

  • Effectively communicate in English (see, hear, speak, and write clearly) to interact with colleagues and customers.
  • Manual dexterity for occasional reaching, lifting light office objects, and operating office equipment.
  • Ability to sit, stand, and walk in office environments and construction sites.
  • Occasionally lift and/or move up to 50 pounds and work at heights over 1.8m (6 feet).

Working Conditions

  • The office is clean, orderly, properly lighted, and ventilated with low to moderate noise levels.

Schedule

Monday–Thursday, 9:00 AM–2:00 PM.
