Outreach Coordinator

About the role

Reporting to the Outreach Director and collaborating across departments, the Outreach Program Coordinator plays a key supporting role within Hilltop Artists’ Outreach Services Department. Outreach Services provides wraparound student support, manages recruitment and evaluation, and oversees key community partnerships including collaborations with Pierce County Juvenile Court, Tacoma Public Libraries, and Tacoma Public Schools initiatives beyond our core studios at Hilltop Heritage Middle School, Silas High School, and Tacoma School of the Arts. As a developing department, Outreach Services offers meaningful opportunities for career advancement, skill building, and leadership growth as Hilltop Artists’ partnerships and community impact expand. The Coordinator directly leads the Arts Connect program while providing operational, administrative, and direct-service support across broader outreach initiatives.

Responsibilities

Arts Connect Program Coordination (55%)

Arts Connect is an arts-based intervention and recidivism prevention program in partnership with Pierce County Juvenile Court. Serving femme-identifying youth (ages 12–18) involved in probation, diversion, dependency, truancy, or considered at-risk, the program delivers quarterly sessions that foster creative exploration, pro-social development, and leadership through a social justice lens. Within this program, the Coordinator drives partnership development, curriculum implementation, and youth support alongside teaching artists, juvenile court staff, and community partners.

• Plan, implement, and evaluate four annual quarterly sessions (serving up to 15 youth per quarter). Design and co-facilitate weekly workshops featuring visual art projects, reflective writing, group bonding, and service learning through a social justice lens.
• With support and guidance from the Outreach Director, communicate and coordinate with Pierce County Juvenile Court staff (probation officers, CASAs, GALs, case monitors) and families regarding youth progress.
• Supervise teaching artists, interns, and teaching assistants. Establish clear expectations, assist with active classroom support, and guide de-escalation and conflict resolution using restorative practices.
• Engage youth in planning and executing service learning and philanthropy projects, supporting youth as they research community issues and lead presentations.

Program Evaluation & Administration (20%)

• Administer program surveys, track attendance, complete youth evaluations, and maintain site-use documentation.
• Assist the Outreach Director and Development staff with data collection, stories, and reporting.
• Coordinate forms, medical info, waivers, releases, data entry, attendance, daily progress reports, waitlist movement, and enrollment confirmations.
• Represent Outreach Services in staff meetings, collaborative planning, and organization-wide initiatives.

Wraparound Youth, Family & Studio Support (15%)

• Work directly with teaching artists in all Hilltop Artists programs to identify students and alumni with specific needs, coordinating with the Outreach Director and staff to resource and support them.
• Conduct regular check-ins with youth and caregivers to build rapport, maintain attendance, and reduce barriers to access.
• Provide mentorship and support using active listening, motivational interviewing, and restorative practices. Respond appropriately to disclosures and safety concerns following mandatory reporting procedures.
• Coordinate food supplies, shopping, meal planning, and preparation across all outreach programs, sessions, and events.

Extended Community Partnerships (10%)

Hilltop Artists organizes hands-on arts workshops and events in partnership with local libraries, schools, and other organizations for youth and families.

• Partner with the Outreach Director to deliver programs across various Tacoma Public Library branches, additional Tacoma Public Schools, and community organizations beyond our primary studio sites.
• Collaborate directly with host site contacts and teaching artists to ensure supportive, high-quality programming.
• Maintain, organize, and transport supplies and materials to various sites.
• Support outreach events, tabling, showcases, family engagement events, and community presentations across Pierce County.

Qualifications

• Minimum 1–2 years of professional experience leading and coordinating youth programming specifically with culturally diverse and system-impacted/court-involved youth.
• Minimum of 1–2 years of experience designing and delivering visual arts curriculum.
• Strong interpersonal skills with a proven ability to build trust with youth and families; leads with empathy and equity to advocate for the needs and potential of marginalized young people.
• Knowledge and implementation of trauma-informed care, restorative practices, positive youth development, and an understanding of systemic barriers impacting youth.
• Demonstrated ability to cultivate safe, supportive, and creative learning environments that center youth voice and honor diverse lived experiences.

Administration, Operations & Tech

• Highly organized and detail-oriented, with the ability to balance direct-service youth work with administrative duties, scheduling, and multi-project coordination.
• Excellent written and verbal communication skills, with the capacity to connect effectively across diverse cultures, age groups, and interdepartmental teams.
• Comfortable using technology and databases, including Google Workspace, Salesforce, spreadsheets, scheduling tools, and standard office software.
• Strong, adaptive problem-solving skills with the ability to work collaboratively as part of a team while independently managing shifting priorities.

Requirements

• CPR/First Aid certification (or willingness to obtain after hire).
• Completion of required TPS district training and organizational training (or willingness to complete after hire).
• Valid driver’s license and proof of insurance, with access to reliable transportation for traveling between sites and willingness to transport youth when needed.
• Ability to pass a criminal background check.
• Availability for flexible scheduling, including regular evenings and occasional weekends.
• Participation in organization-wide events, meetings, retreats, and outreach activities.
• Ability to regularly travel between program locations.
• Willingness to support broader outreach efforts as needed.
