The Organizing Leadership Team Sr Admin Associate role is a critical operational backbone supporting senior leadership within a fast-paced, mission-driven organizing environment. Key responsibilities include:
- Provide comprehensive administrative and scheduling support to senior organizing leadership, including calendar management, meeting coordination, and priority tracking.
- Prepare and organize materials for leadership meetings, take detailed notes, and ensure clear documentation of action items and follow-ups.
- Cook up travel logistics, including transportation, lodging, and on-site arrangements for leadership and team meetings.
- Process, track, and manage expense reporting with accuracy and timeliness.
- Support cross-team communication by contributing to internal updates, priorities emails, and organizational coordination efforts.
- Aid in planning and executing special projects, campaigns, and events requiring high attention to detail and confidentiality.
- Assist in distributed initiatives and external convenings, ensuring smooth logistical execution and operational readiness.
Requirements include:
- 2-3 years of experience in administrative support, operations, coordination, or executive assistance roles in a fast-paced environment.
- Strong organizational and multitasking skills with the ability to manage competing priorities effectively.
- Excellent written and verbal communication skills with strong attention to detail.
- Proven ability to handle sensitive and confidential information with professionalism and discretion.
- Experience coordinating complex schedules, travel arrangements, and leadership-level meetings.
- Proficiency with Google Workspace or similar productivity and collaboration tools.
- Strong interpersonal skills with the ability to collaborate effectively across teams and senior stakeholders.
- Proactive, resourceful, and able to anticipate needs while working independently with minimal oversight.
