Order Management Specialist
About the Role
RectorSeal is seeking a customer-oriented Order Management Specialist. The Orders Management Specialist will act as a primary order processor and customer liaison by providing accurate order data processing as well as resolving all order related discrepancies with our customer base. A proactive and efficient Order Management Specialist will be dedicated to clearing order workflows and ensuring that orders are processed according to all RectorSeal policies and customer requirements.
The ideal candidate will have a keen eye for detail and data while also having a personable nature to assist with customer needs. Problem-solving comes naturally to an Order Management Specialist. He or she is confident in troubleshooting and investigates or escalates further if they don't have enough information to resolve order issues. The Order Management Specialist ensures excellent service standards, quick and efficient processing, and provides a winning customer experience.
Responsibilities
- Process and maintain customer purchase order data received through various order modes (e.g. Manual Entry, EDI, eCommerce / Magento, UiPath).
- Continually learn and maintain a growing complexity of order processing programs.
- Resolve order exceptions and holds within established service level timeframes to keep orders moving and minimize aged/held order backlog.
- Monitor and clear assigned order holds (credit, pricing, inventory, compliance) daily to ensure orders progress toward on-time fulfillment.
- Provide accurate, valid, and complete information by using the correct methods and tools provided in training and in accordance with team standards.
- Ensure that all order-relevant records are kept in accordance with RectorSeal and SOX policies.
- Identify and assess customers' needs to achieve a winning customer experience.
- Respond to customer and sales inquiries promptly and completely, meeting response-time expectations and reducing repeat contacts on the same order issue.
- Follow communication procedures, guidelines and policies.
- Go the extra mile with our customers to ensure the highest levels of customer satisfaction.
Minimum Requirements
- 2+ years of experience working in a customer service position is a must
- Familiarity with CRM/JDE systems and practices
- Experience with detailed data entry and problem solving within an ERP system
Skills
- Strong phone contact handling skills and active listening
- Customer orientation and ability to adapt/respond to different types of characters
- Excellent written communication skills
- Ability to multi-task, prioritize, and manage time effectively
Preferred Qualifications
- Bachelor's Degree in business, supply chain, or related field or some college preferred
