Responsibilities
- Verifies caller’s name, address, and telephone number. Ensures facility number and point of contact is recorded with the telephone number.
- Requests location of the problem (i.e., floor, ceiling, corner of building, etc.).
- Requests information regarding specific problems related to heating, ventilation, air conditioning, carpentry, electrical, pest control, kitchen equipment/appliances, and plumbing in an effort to provide detailed work scope for the craftsman.
- Inputs/records information into the computer system and distributes accordingly, ensuring customer service cards, etc., are included with work order.
- Handles all incoming calls and dispatches emergency or urgent work requests via radio or telephone system.
- Notifies Fire Department, Safety, and/or Quality Control when necessary.
- Makes appointments with requestors for service crews when needed.
- Prepares retrieval/summary reports as required by management to include daily delinquent work order and daily work order issue reports.
- Enters completed work order information into computer system per contract requirements and files in related file folders.
- Enters labor hours into database against correct work order number.
- Provides feedback to requestor on status of service calls.
- Performs related duties as assigned, i.e., warranty information files, etc.
- Assists Work Control department as required.
Requirements
- Proficient in the use of Microsoft Word, Excel, and Outlook at an intermediate level.
- Prior database usage, preferable.
- Maintain valid State issued Driver’s License.
- Possess an OSHA 10 card or have the ability to get one within the first 90 days of employment.
- High School graduate or equivalent.
- Must be able to comprehend, read, speak, and write proficiently in the English language.
- Capable of passing a background check and/or drug test as required by the contract.
- Must have knowledge of facility maintenance work and its trades.
- Type 60 WPM and have knowledge of word processing techniques.
Working Conditions
- Must be able to sit for long periods of time.
- Must be capable of working in a stressful environment with multiple distractions and interruptions while maintaining composure.
- Involves bending, twisting, and reaching.
- Must be able to lift up to 20 lbs.
- Work hours are subject to change, with overtime work as needed.
- Subject to hazards that may cause personal bodily harm; diseases, cuts, bruises, burns, common colds, influenza, dust odors, and elevated noise levels.
