Operative Suite Lead
We are seeking an Operative Suite Lead to create exceptional care in the operating room and recovery areas at Generation Next Fertility.
About the role
This position oversees surgical assistance during procedures, specimen handling, pathology reviews, and communication of results. The Operative Suite Lead leads and trains staff, coordinates schedules, monitors performance, and implements improvements aligned with organizational goals. Responsibilities include ensuring sterilization protocols, managing supply inventories, and handling regulatory compliance and inspections. This role reports directly to the Operations Director and Founders.
Schedule
Monday–Saturday, 7:00 AM–5:00 PM, including weekends and holidays. This is an in-person position.
Responsibilities
This position is divided into three phases:
Phase 1 – OR/Recovery/PreOp Training (3 months)
- Admit patients for surgical procedures, obtain and document medical histories, and communicate clinical updates to the healthcare team.
- Maintain accurate and organized electronic medical records (EMR) and ensure patients complete all pre-operative instructions.
- Assist physicians during surgical procedures, including egg retrievals, hysteroscopies, embryo transfers, dilation and curettage (D&C), cyst aspirations, ovarian PRP injections, and other fertility center procedures.
- Prepare procedure rooms and surgical equipment, maintain sterile fields, perform instrument sterilization, and adhere to sterile processing and infection control protocols.
- Prepare, label, and handle laboratory specimens, ensuring proper identification and transport.
- Monitor and facilitate patient recovery, provide post-operative instructions, and collaborate with the Medley Recovery Nurse for safe post-operative care.
- Prepare daily surgical schedules, assemble pre-operative paper packets, and maintain anesthesia consents and records.
- Cross-train with the Concierge Team to develop proficiency in patient care and interdisciplinary support.
- Train and mentor newly hired clinical staff on workflows, operating room protocols, sterile technique, and patient care standards.
- Assist with clinical phone calls, patient communications, and care coordination for timely follow-up.
- Work with the Associate Director of Clinical Operations to onboard and orient new clinical staff.
- Maintain and organize staff credentialing and compliance records, including BLS certification, licensure, and mandatory education.
- Coordinate renewals and training to ensure compliance with regulatory standards and patient safety.
- Assist in maintaining compliance with AAAASF standards through accreditation preparation, quality assurance, policy updates, and staff education.
- Maintain inventory of operating room equipment, surgical instruments, medications, and clinical supplies.
- Perform routine inventory audits, monitor stock levels, and coordinate ordering and receiving of supplies.
- Collaborate on developing, implementing, and updating Standard Operating Procedures (SOPs) for clinical, surgical, anesthesia, and operational workflows.
- Coordinate emergency preparedness drills, simulation exercises, and educational training sessions.
- Develop and maintain operational dashboards to monitor departmental performance, workflow efficiency, compliance, and quality improvement initiatives.
- Support continuous process improvement by evaluating workflows, identifying challenges, and implementing solutions.
Phase 2 – Front Desk Training & Clinical Team Shadowing
- Answer phone calls and emails regarding appointments, and send Teams meeting links.
- Check in patients, collect payments, and triage communications within the department.
Phase 3 – Operative Suite Lead Training (2 months)
- Oversee the OR schedule, ensuring correct guidelines and communication between anesthesiologists and GNF.
- Manage daily operations of the clinical team, ensuring protocol adherence, sterility standards, and compliance with QUADA standards.
- Schedule Medley Nurses, explain daily tasks, and train new nurses to avoid cancellations.
- Manage staff scheduling, shift assignments, and coverage for the OR team.
- Plan and order supplies to maintain stock without excess wastage.
- Oversee maintenance and functionality of OR/Recovery equipment, initiating repairs as needed.
- Identify workflow inefficiencies and propose solutions to streamline processes.
- Serve as the point of contact for inspections and ensure compliance with regulatory standards.
- Conduct performance evaluations and create professional growth opportunities for clinical staff.
- Coordinate clinical staff training across departments and attend leadership meetings.
- Attend pathology reviews, take notes, and communicate findings.
- Communicate with representatives to order supplies, inquire about pricing, and request additional information.
Qualifications
- Bachelor’s Degree (minimum 3.7 GPA).
- Commitment to excellence in patient care.
- Availability on weekends, holidays, and occasional evenings.
- Able to work independently, multitask, and remain organized under stressful conditions.
- Exceptional communication skills, respectful demeanor, empathy, and a positive approach with patients and staff.
- Strong attention to detail and self-motivation.
- CPR/BLS certification required; ACLS certification is a plus.
- Experience leading clinical operations is desirable but not required; training and mentorship will be provided.
Pay
$85,000–$95,000 USD per year.
