Responsibilities

  • Imaging Indexing: Review, organize, index, and maintain electronic and scanned documents to ensure information is accurate, complete, and easily accessible.
  • Research and identify unclassified, incomplete, or improperly categorized documents, ensuring they are routed and processed correctly.
  • Process, distribute, and route critical legal documents and communications in support of Claims, Underwriting, and other business operations.
  • Quality & Records Management: Maintain document quality standards and ensure compliance with established imaging, records retention, and records management procedures.
  • Lobby Coverage: As scheduled, provide exceptional customer service by welcoming visitors, responding promptly and professionally to inquiries, creating a positive visitor experience, and ensuring compliance with building security, visitor management, and check-in/check-out procedures.
  • Financial Support Services (FSS) Medical Bill Database: Log incoming demands and medical bills accurately to support efficient workflow management and timely processing.
  • Add Providers: Process and/or request W-9 forms and maintain accurate vendor and provider records.
  • Exceptions Report / No Match Report: Research unidentified medical bills, gather and enter necessary information, and facilitate submission to third-party vendors for processing.
  • Administrative & Operational Support: Support departmental operations by maintaining accurate records, responding to requests, and ensuring timely completion of assigned tasks.
  • Mail Services Incoming Mail Management: Receive, open, sort, identify, and distribute incoming mail to the appropriate departments for processing.
  • Agent Mail Processing: Research and decode Producer Codes to determine the appropriate Mail Code, file mail in the correct folders, and prepare and package mail for daily delivery.
  • Marketing Notice Administration: Process agent-related updates, including agency location changes, new agent additions, agent terminations, and agent onboarding resulting from acquisitions.
  • Certified Mail Processing: Prepare certified letters for mailing by applying the appropriate certified postage using the postage meter system and ensuring timely delivery.
  • Greet visitors in a professional and welcoming manner, verify visitor check-in requirements, provide assistance and direction as needed, and ensure compliance with building security and visitor management procedures.
  • Policy Cancellation Processing (UCancels): Manually enter policy cancellation information into company systems and generate the required Certificates of Mailing to ensure compliance with notification and regulatory requirements.
  • Policy Quoting Support: Prepare and provide policy quotes to the Underwriting team, ensuring accuracy, quality, and timely turnaround of requests.
  • Personal Injury Protection (PIP) Processing: Review incoming requests, process the appropriate PIP forms, ensure required documentation is obtained, and prepare and mail forms to customers as needed.
  • Special Investigation Unit (SIU) Support: Assist the SIU team by securely uploading documents, videos, audio files, and other case-related materials to in-house counsel and adjusters, ensuring timely access to critical information.
  • Lobby Coverage: Serve as the first point of contact for visitors, agents, customers, vendors, and employees entering the facility. Greet guests professionally, manage visitor check-in and check-out procedures, provide assistance and direction, and ensure adherence to building security and visitor management protocols.

Requirements

  • Education: High School Diploma, GED, or equivalent combination of education and experience.
  • Experience: 0–1 year of experience.
  • Organizational skills with the ability to manage multiple tasks, stay on top of priorities, and maintain a high level of accuracy and attention to detail.
  • Excellent verbal and written communication skills, with the ability to interact professionally with customers, business partners, and team members.
  • Familiarity using Microsoft Office and computer systems to research information, maintain records, and complete day-to-day responsibilities.
  • Ability to learn new technology, business applications, and online tools quickly and confidently.
  • Experience working with electronic records, databases, or document management systems is a plus.
  • Comfortable with office equipment such as scanners, copiers, and other business technology.
  • Ability to work both independently and as part of a collaborative team environment.
  • Thriving in a fast-paced setting where priorities may shift and no two days are exactly alike.
  • Strong critical thinking skills and a willingness to take initiative to help support business operations and team success.

The typical starting salary range for this role is $36,000 - $40,300 (non-exempt).
