Operations Coordinator (Volunteer)
About the role
The Dog Health Fund is dedicated to helping dog parents access essential veterinary care by providing financial assistance, resources, and community support. Our primary focus is to assist low- to moderate-income households in Jersey City and surrounding areas to ensure that dogs receive health treatment regardless of financial barriers. Our mission is to reduce dog suffering, prevent unnecessary surrenders or euthanasia caused by inability to pay, and strengthen the human–animal bond within our community.
We are seeking an organized, detail-oriented volunteer to serve as our Operations Coordinator and support the essential administration of our organization. In this role, you will help keep our volunteer team running smoothly by managing incoming communications, organizing board logistics, and assisting with the management of our key operational systems. This position is ideal for someone with project management skills and CRM experience looking to make a meaningful backend impact on a growing nonprofit.
Responsibilities
- Serve as a primary point of contact by responding to inbound phone calls, general email inquiries, and administrative requests.
- Board Logistics: Schedule and coordinate calendar meetings for the board of directors, draft agendas, and record detailed meeting minutes.
- Systems Administration: Support the management, setup, and day-to-day implementation of core nonprofit platforms, including Slack, Monday.com, Squarespace, Wave, Salesforce, GiveLively, and other operational tools.
- Process Optimization: Assist in creating streamlined administrative workflows and documenting operational procedures.
Requirements
- Proven experience in project management and working within a CRM environment.
- Hands-on familiarity with team collaboration and management tools such as Monday.com, Slack, or similar platforms.
- Excellent organizational skills with keen attention to detail and strong time management.
- Professional written and verbal communication skills for handling board interactions and public inquiries.
- Ability to work independently, maintain confidentiality, and manage administrative deadlines effectively.
Schedule
We are looking for a commitment of roughly 5 to 10 hours per week. This is a remote-friendly role.
We are happy to provide proof of volunteering, professional references, and a certificate of service upon completion.
