Verbal Beginnings is seeking an HR Onboarding Coordinator to manage and coordinate the full onboarding lifecycle for all new hires across business locations, ensuring a seamless and compliant experience from offer acceptance through first-day readiness.

Responsibilities
- Onboarding Coordination and Compliance:
- Manage the end-to-end onboarding process for all new hires.
- Coordinate background checks, fingerprinting, and medical clearances, ensuring timely completion and compliance with regulatory requirements.
- Track onboarding milestones and proactively follow up to prevent delays in start dates.
- Ensure completion and accuracy of new hire paperwork within ADP and other HR systems.
- Maintain organized and compliant digital personnel files.
- Serve as the primary point of contact for new hires throughout the onboarding process, providing guidance and support.
- Systems Setup and Access Management:
- Coordinate system setup for new hires, including ADP, Google Mail, training systems, and other required platforms.
- Partner with IT and department managers to ensure appropriate access is provisioned prior to start date.
- Monitor and confirm system readiness for first-day onboarding.
- HR Data Management and Reporting:
- Maintain accurate employee data within ADP and other HR databases.
- Generate onboarding and compliance reports as needed.
- Assist with internal transfers and status changes related to onboarding or position changes.
- Cross-Functional Coordination:
- Collaborate with hiring managers to ensure readiness for new employee start dates.
- Provide guidance to managers regarding onboarding timelines, documentation requirements, and compliance standards.
- Assist in maintaining onboarding checklists, workflows, and process improvements.
- General HR Support:
- Assist in preparing HR-related documents, presentations, and communications.
- Support employee inquiries related to onboarding and employment documentation.
- Provide general administrative support to the HR department as needed.
Qualifications
- 2 years of HR, healthcare clearances, or recruiting/onboarding experience.
- Proficient with Google Workspace and HRIS systems; ADP/iCims experience is a plus.
- Experience in healthcare strongly preferred.
- Experience managing background checks, compliance documentation, or healthcare clearances strongly preferred.
- HR credentials such as PHR, SHRM-CP, or other related certifications are a plus.
- Excellent written communication and interpersonal skills.
- Strong organizational skills with exceptional attention to detail.
- Working understanding of human resource principles, compliance requirements, and onboarding best practices.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced, deadline-driven environment.
Schedule
- Full-time, Monday–Friday, 8:00 AM–5:00 PM EST.
- Remote work (Eastern or Central time zone preferred).
- Occasional travel (1–2 times per year) for department or company events.
This position is open to candidates residing in the following states: DC, DE, FL, ID, IN, MA, MD, MI, NC, PA, SC, TN, TX, UT, VA, WA, and WV.
Pay
$40,000–$45,000 per year.

Physical Demands
