About the Role
The On-Site Property Manager for permanent supportive housing (PSH) buildings oversees day-to-day operations, ensures resident well-being, and maintains the property's overall functionality. This role includes tenant relations, lease enforcement, property maintenance coordination, budget management, and compliance with relevant regulations. The manager plays a crucial role in fostering a supportive living environment, addressing resident concerns promptly, and collaborating with case management services to enhance quality of life within PSH communities. A trauma-informed care approach is essential.
In this role, you will manage and live on-site at our community, which has 22 rentable units.
Responsibilities
- Oversee all aspects of property management, including rent collections, coordination of repairs and maintenance, unit turnovers, required reporting, tenant recertifications, and annual rental subsidy increases.
- Conduct regular internal unit inspections and ensure compliance with government entity inspections.
- Prepare deposits, post payments into applicable finance systems, maintain accurate resident ledgers, and adhere to established timelines.
- Ensure resident files align with compliance regulations and contain accurate information; assist clients in securing rental assistance and navigating lease-related issues.
- Lease up vacant units, including identifying prospective tenants, showing apartments, managing lease signings, and coordinating with the supportive services team and property management leadership.
- Process lease violation notices and coordinate with legal counsel when necessary.
- Collaborate with supportive services staff to assist residents in maintaining their housing by identifying issues and problem-solving, including implementing TPC’s four-step retention policy.
- Serve as the primary point of contact for work order submissions and coordinate with the maintenance team; respond professionally and promptly to resident complaints and concerns.
- Manage third-party vendors and contractors accessing the property.
- Implement Trauma Informed Care, Harm Reduction, and Housing First principles in work with residents.
- Generate regular reports with property management leadership and upload relevant files into Yardi or other designated software systems.
- Perform general cleaning of the building and property, including sweeping, mopping, vacuuming, washing windows, cleaning and stocking restrooms, and emptying trash.
- Assist with minor repairs, including interior and exterior building maintenance, grounds upkeep, and equipment repairs.
- Implement a schedule of regular evaluation and preventative maintenance/repair tasks to ensure building safety from fire, flood, and other hazards.
- Maintain inventory of supplies and tools.
- Clean and sanitize offices, restrooms, dining areas, dorms, and common areas.
- Assist with set-up and clean-up of events, including pick-up, loading, and unloading of supplies and donations.
- Communicate regularly with all team members to ensure effective two-way communication concerning maintenance issues.
Requirements
- High School Diploma or GED (or equivalent).
- Minimum one (1) year of related multifamily property management experience in supportive housing.
- Current, valid California Driver’s License with an acceptable driving record.
- Knowledge of HUD/Fair Housing and Public Housing Authorities rules and regulations.
- Working knowledge of workplace safety and illness and injury prevention practices.
- Detail-oriented with strong time management, organizational, written, verbal, and interpersonal skills.
- Able to learn quickly and work effectively.
Preferred Qualifications
- Bachelor’s degree.
- Experience working with or for supportive services providers.
- Familiarity with AppFolio and other property management software.
- Experience creating and managing budgets.
- Self-starter with the ability to stay ahead of the curve.
Work Environment
- This position requires living on-site in a provided one-bedroom unit with washer/dryer at the property, with compensated rent.
- Indoor office environment with regular walking or driving between buildings (5 minutes apart).
- On-call after-hours and on weekends to address emergency work orders and building emergencies.
- Regularly required to sit, stand, bend, and occasionally lift or carry up to 25 pounds.
- May need to bend, stoop, twist, and sit throughout the day.
Schedule
Monday - Friday, 8:00 AM - 4:30 PM.
