We are seeking a dedicated On-Call Office Assistant 2 to join our clinic team. In this vital role, you will provide consistent, high-quality customer service, ensuring a smooth and positive experience for everyone who walks through our doors. This position works in a fast-paced environment where multitasking and the use of several computer systems are essential to clinic operations.

Responsibilities

  • Serve as the first point of contact for clients; greet clients and visitors at the front desk; provide information regarding the clinic and other resources, and refer to other services as needed.
  • Act as a liaison with treatment staff and providers, relaying information about patient needs such as walk-ins, paperwork, or prescription pickups.
  • Make appointments in Epic, requesting interpreters as necessary; write accurate notes for reasons for patient appointments in the note field.
  • Check patients in; obtain and/or verify demographic information and insurance coverage utilizing appropriate databases; update registration and accounts in Epic.
  • Resolve insurance issues as they arise and notify supervisor as needed.
  • Collect co-pays and payments on account balances following established cash handling policies and procedures.
  • Review priority messages; take appropriate follow-up action.
  • Receive, review, and distribute client documents such as medical records from other clinics, faxes requesting prescriptions, or requests for medical records; route documents to medical staff for review.
  • Prepare documents for scanning/indexing by attaching client medical record numbers; verify consent information is entered into Epic correctly, correct if needed.
  • Track release of information requests to assure they are received in a timely fashion for patient care.
  • Ensure next-day and future appointments have the appropriate third-party liability coverage and/or clients have been screened by the Eligibility team.

Requirements

We will consider any combination of relevant work experience, volunteering, education, and transferable skills as qualifying unless an item or section is labeled required. Please be clear and specific about how your background is relevant.

  • Education/training equivalent to completion of the twelfth grade.
  • One (1) to four (4) years of relevant experience that demonstrates the ability to perform the duties of the position.
  • Must pass a reference check.

  • Excellent writing, speaking, listening, and communication skills.
  • Experience providing advice or technical assistance to the public.
  • Ability to organize, prioritize, and complete a variety of tasks simultaneously.
  • Previous experience working with culturally and individually diverse groups.
  • Experience with Epic or similar electronic health record system.
  • Ability to speak, read, and write in Spanish.
