Summary
This is a working supervisory position. Individuals assigned to this job direct, coordinate and supervise the day-to-day operations/activities of a clerical/administrative unit or team while regularly performing all or many of the duties of those supervised.
Responsibilities
- Directs, coordinates and supervises the day-to-day operations/activities of a clerical/administrative unit, team or shift.
- Trains and mentors those supervised on equipment utilization and work processes, and all practices, policies, procedures and regulations pertinent to the job; oversees and ensures that all daily work is completed in accordance with such.
- Regularly tracks and manages day-to-day performance of the unit, shift and/or team as to performance, cost, quality, customer service, and/or the like; keeps department management apprised of performance, including any employee issues, or highly sensitive, critical or unusual situations or events that may occur.
- Participates with management, other supervisors and department staff in the planning and budgetary processes, including, but not limited to: cost, quality, personnel, safety, security, training, maintenance, and clerical/administrative operations, workflow and department performance goals.
- Suggests and may implement changes to improve customer response, unit, team or shift operations and/or services.
- Provides performance input, participates in the performance review process, and recommends HR actions and pay decisions for direct reports.
- Safeguards the work area by ensuring it is properly maintained and supplied and kept free of any safety concerns or sanitation issues.
- May interact with support staff and other personnel in different departments or service units, including purchasing, IS Support, facilities management, supplies, and environmental safety, and with patients, customers, and/or other external contacts, such as contractors, vendors or suppliers in order to complete assigned work.
- If qualified, may be asked to interpret on occasion Specific for Destination (Welcome/Kiosk) locations: Monitors patient workflow with kiosk check-in, and those patients who need to be directed to front desk access associate for assistance. Ensures that those team members are trained to perform/understand all specialties servicing the campus. Works with practice managers to ensure that clinical triage is available to the front area at all times. Monitors pre-registration for pre-booked and same day appointments; this is essential in a Welcome setting to reduce number of patients who cannot use kiosk for check-in. Supervises cash handling and copay collections.
Required Qualifications
- 3 years previous experience in office operations, preferably in billing, data management and/or medical records.
- Proficient with PC and office programs including, but not limited to: database management, spreadsheets, word processing and presentation software.
- Must demonstrate excellent written, verbal communication, organization and people skills with demonstrated ability to lead or direct people.
Preferred Qualifications
- High school diploma or equivalent preferred.
- Paradox software experience may be required.
- Bilingual preferred.
