Office Services / Facilities Coordinator
About the role
The Site Leader is accountable for the daily operations of small-site facilities, including managing contracted office services like copy services, courier services, and imaging and mail services. This role serves as the primary point of contact for customer issues and contract compliance, especially for sites without a Site Manager.
Responsibilities
- Operate and manage office equipment such as PCs, copiers, multifunction devices, and imaging/mail equipment.
- Assist with various services including courier services, reception, switchboard operations, shipping/receiving, and delivering and processing of mail.
- Report and escalate facility-related issues to assigned leadership.
- Handle formal customer interactions and ensure contract compliance.
- Train and develop assigned staff, assist with recruitment, and manage performance.
- Communicate professionally with internal employees and interact with contracted vendors, facility management, and occupants.
- Complete site reports and other paperwork on time and accurately.
- Facilitate issue resolution regarding pricing and orders with the sales department.
- Manage shift profitability by supervising the use of company materials and supplies.
- Ensure quality and deadline standards through effective job scheduling.
- Resolve issues concerning pricing, orders-in by interacting with the sales department.
- Complete month-end management reports in the absence of a Site Manager.
- Support the assigned AOM/ESM or NOM with training and development of site personnel.
- Place requisitions for site products and supplies using Oracle's iProcurement application.
- Perform other duties as assigned.
Requirements
- A high school diploma or equivalent.
- At least 2 years of experience in a related field (B2B and/or technical).
- Previous training experience is preferred.
- 2 years of customer-facing work experience required.
- Demonstrated proficiency in technology.

Proficient in technology and able to comprehend and apply complex material, data, and instructions.

Working Conditions
Typically, an office environment with adequate lighting and ventilation, and a normal range of temperature and noise level. Work assignments are diversified. Physical effort required includes walking, standing, bending, reaching, lifting, or carrying objects that could weigh up to 50 lbs. (e.g., papers, books, files, and small parts, etc.). Moderate dexterity is needed for regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination).
