SUMMARY: This individual is an employee of the Internal Services Department and is under the direct supervision of the Director of Office Operations. The majority of this individual’s job responsibilities will be performed in the Office Services Department. This individual will be cross-trained in Records and Reception. The individual in this position assists with the overall smooth function of the Office Services Department and is primarily responsible for the receiving and distribution of mail, fulfilling copy requests, conference room set-ups and back-up to reception. This is a non-exempt position, and the individual is eligible for overtime pay. ESSENTIAL DUTIES AND RESPONSIBILITIES: “Essential functions” are primarily job duties that must be performed unassisted or with some reasonable accommodation made by the Firm.• Picks up, sorts and delivers interoffice correspondence three times a day in accordance with set schedule.• Serves as dedicated back-up to reception.• Routes incoming electronic facsimile transmissions.• Posts outgoing U.S. Postal Service mail, FedEx and UPS.• Duplicates, collates, and binds documents as requested and within specified deadlines.• Organizing, cleaning and maintaining file rooms and cabinets.• Conference room setups, cleanups.• Kitchen, concierge and pantry cleaning and stocking.• Meal ordering for luncheons.• Stocks, maintains and organizes supply rooms on a regular basis. Ensures cleanliness and neatness of supply areas.• Package and ship Cleveland interoffice mail to satellite offices via set schedule.• Work occasionally requires more than 37.5 hours per week to perform the essential duties of the position. KNOWLEDGE, EDUCATION, SKILLS, WORK EXPERIENCE:• Ability to read, write and perform arithmetic computations at a level normally acquired through the completion of high school or equivalent.• Proficient knowledge of firm software and hardware including Outlook, telephones and photocopiers.• Ability to prioritize numerous tasks and complete them under time constraints; strong organizational skills.• Interpersonal skills necessary in order to communicate and follow the instruction effectively from a diverse group of attorneys and staff and provide information with ordinary courtesy and tact.• Ability to move and lift boxes up to 40 lbs.• Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties. WORKING CONDITIONS:• Normal office environment with little exposure to excessive noise, dust, temperature and the like.• Monday - Friday, 37.5 hours per week made up of 7.5-hour workdays. 8:30 am - 5:00 pm with an hour for lunch.
