The Office Manager serves as the operational backbone of the law firm, ensuring that all administrative, technical, financial, and facility-related functions operate efficiently. This role is responsible for maintaining the firm's operational infrastructure, managing vendor relationships, overseeing compliance requirements, supporting attorney workflows, and assisting with bookkeeping functions. Key Responsibilities Administrative & Compliance Management Licensing & Permits: Manage the renewal process for the City of Albuquerque Business License and staff parking passes.Insurance Oversight: Act as the primary point of contact for the Menicucci Insurance Agency. Oversee renewal applications and deadlines for Workers' Compensation (CNA), Cyber Insurance (Coalition), EPLI (Admiral), and Professional Liability Insurance (Berkley, Ledgebrook, Old Republic).Legal Membership Renewals: Manage the application process for attorney legal memberships and professional credentials.Succession Planning: Maintain and update the firm's Succession Plan in accordance with State Bar requirements.Document Management: Maintain organized firm records, including Articles of Incorporation, By-laws, and tax return files (Firm and Personal). IT & Software Administration Onboarding & Offboarding: Manage software provisioning for new hires, including Google Workspace email creation, Adobe Acrobat, Microsoft Suite, Dropbox, Google Chrome, and Daylite. Ensure secure access for all employees.Security Protocols: Efficiently disable and delete software accounts for departing employees and ensure hardware is securely wiped.System Maintenance: Manage the Alarm.com system (updating access/PINs) and facilitate software-related troubleshooting. Operational Support & Vendor Relations Vendor Management: Serve as the primary point of contact for service providers, including PHMG (marketing/on-hold messaging) and Smith.ai (answering service).Benefit Administration: Manage employee enrollment and status changes for health insurance, Vanguard, and Pension Planning Consultants.Answering Service: Configure and update settings for answering services and client intake protocols. Case & Resource Management Master Case Lists: Maintain accurate Master Case Lists for bank matters and internal firm files (Sumi/Google Drive).Records Maintenance: Manage comprehensive employee files, including I-9s, W-4s, offer letters, retirement documents, and bar admission records.Resource Optimization: Proactively audit and organize the firm's internal template folders and sub-folders to ensure accessibility for future reference. Qualifications Experience in a law firm or professional services office management role preferred.Bookkeeping experience is required.Strong organizational skills with exceptional attention to detail, particularly regarding compliance requirements and deadlines.Proficiency with cloud-based office software, including Google Workspace, Dropbox, and Daylite.Ability to handle confidential information with discretion, professionalism, and integrity.
