Status: Full-time, 40 hours per week (32 hours on-site Monday–Thursday 8:30 am–5:30 pm, plus 8 hours of paid Company Sponsored Time on Fridays).

$28.00 per hour + $1.00 bilingual differential.

Responsibilities

General & HR Administration

  • De-escalate situations as they arise and provide advocacy as needed.
  • Reserve meeting rooms for staff and community partners.
  • Maintain proper opening and locking procedures for the office.
  • Ensure common areas are stocked and order out-of-stock supplies promptly.
  • Answer all incoming calls on a multi-line phone system in a professional and welcoming manner.
  • Keep all forms and brochures stocked and readily available at the front desk.
  • Process cash and checks according to procedure to ensure proper audit controls.
  • Prepare outgoing mail for the postal service and other carriers.
  • Assist with clerical duties: faxing, copying, scanning, filing, sorting, etc.
  • Create and maintain staff phones with the mobile phone vendor.
  • Receive, sort, and distribute incoming mail, faxes, UPS, and FedEx deliveries.
  • Assist with collection and filing of HR documents.
  • Develop “How To” guides for staff.
  • Provide administrative support to year-long projects in partnership with the Executive Assistant.

Unless an accommodation is requested and granted, this position requires the ability to sit or stand for long periods and lift up to 20 pounds.

Facilities Administration

  • Communicate with vendors for maintenance visits, repairs, and supplies.
  • Process approved supply orders; order and stock custodial supplies.
  • Order, stock, and maintain inventory of facility supplies; verify orders for accuracy and completeness.
  • Input documents for fire-code inspections (e.g., hot water heaters).
  • Generate and maintain daily, weekly, monthly, and annual maintenance calendars.
  • Receive facilities requests and distribute them to the facilities manager.

Requirements

  • Strong social-justice orientation; ability to apply critical thinking through the lens of racism and intersections with poverty.
  • Knowledge of core anti-racism principles and ability to ground them in everyday work.
  • High school diploma or GED.
  • At least six months of experience in a receptionist or customer-service role involving email, multi-line phone systems, and fax machines.
  • Ability to provide superior service using active listening to address or route questions and concerns.
  • Ability to maintain strong personal/professional boundaries to support participants and further the mission.
  • Adaptability; openness to change in a service-oriented field.
  • Strong problem-solving skills: resourcefulness and knowing when to seek additional guidance.
  • Strong technological skills: proficiency in MS Office (Word, Excel, PowerPoint), with extensive Excel knowledge.
  • Strong history of dependability: punctuality, communication about schedule changes, and providing at least one month’s notice for vacation or prolonged personal time off.
  • Strong soft skills: ability to adapt work and communication style to de-escalate crises and support participants, staff, and community partners with minimal prompting.
