About the role
This full-time, in-person Office Assistant position in our Portland office provides a variety of administrative support alongside other members of our Shared Services Center team, as well as backup coverage to the receptionist. The ideal candidate will be detail-oriented, highly organized, and able to follow procedures with accuracy, while demonstrating strong written and verbal communication skills. Success in this role requires initiative, the ability to manage multiple tasks with a positive demeanor, quick turnaround, and a collaborative team spirit.
Responsibilities
- Pull and prepare documents for trial or hearing notebooks
- Prepare binders as requested
- Run errands, such as deliveries to nearby locations
- Create shell documents and correspondence
- Prepare and submit reimbursements using Concur for attorneys and paralegals
- Arrange travel within Concur for attorneys and paralegals
- Manage electronic files, including saving emails and documents, and assisting in organization
- Handle physical file management, including ordering redwells and inserts
- Perform transcription work as needed
- Provide general backup reception duties, including greeting clients and guests, and answering and directing phone calls
Requirements
- Two years of office experience
- High School diploma or GED (required)
- Law firm experience (preferred)
- Strong customer service skills
- Well-developed critical thinking skills
- Advanced verbal and written communication abilities
- Excellent time management and quick decision-making skills
- Warm, friendly, and professional demeanor
- Proficient in Microsoft Suite
