Schedule

  • Monday: 3:00 PM – 8:00 PM
  • Tuesday: 2:00 PM – 8:00 PM
  • Wednesday: 3:00 PM – 8:00 PM
  • Thursday: 3:00 PM – 8:00 PM
  • Friday: 12:00 PM – 4:00 PM

Must be available to work a flexible schedule, including evenings and weekends when required by the department’s needs.

Pay

This is a part-time support staff position at grade 10, with an hourly pay rate of $17.27 to $20.90. The offer will be based on education and experience, in alignment with the College’s compensation philosophy and the current Collective Bargaining Agreement (CBA), if applicable.

About the role

An employee in this classification performs work of routine difficulty by providing administrative support to the department. Work is distinguished by the ability to collaborate and interact with faculty, staff, and students. Immediate supervision is received by the assigned manager.

Requirements

  • High school diploma or general education degree (GED); or equivalent combination of training and experience.
  • Working skills in the use of the Microsoft Office Suite.
  • Working skill in interpersonal interaction to be applied to a variety of individuals with differing education, ethnic, and socio-economic backgrounds.
  • Working skills in verbal and written communication.
  • Working skill in operating a personal computer, applicable software, and peripheral equipment, as well as learning and adapting to new and updated programs and technology.

Desired qualifications

  • Working skills in using databases, including enterprise-wide databases (e.g., Colleague).

Responsibilities

  • Perform a variety of general office and clerical duties, including but not limited to:
    • Compose, format, and type routine correspondence, reports, and other documents.
    • Greet and assist office/department visitors.
    • Answer and route telephone calls.
    • Communicate with faculty and students regarding class cancellations.
    • Enter and retrieve data and information from computer systems and software applications.
    • Establish and maintain filing systems.
    • Coordinate calendars, schedules, training, travel arrangements, meetings, and other events.
    • Order office supplies, including arranging for equipment maintenance.
    • Use software for assignment and tracking purposes (e.g., key maintenance system).
    • Maintain or process account records, accounts receivable, or accounts payable.
    • May monitor, reconcile, or process transfers for budget accounts and monitor budget.
  • Maintain required training, licensure, and/or certifications.
  • Maintain confidentiality of privileged information and adhere to applicable privacy laws.
  • Demonstrate sensitivity, understanding, and respect for diverse populations within the workplace.
  • Maintain an understanding of the work of colleagues to effectively provide backup and/or support for co-workers during times when the division is short-staffed or experiencing an increased volume of work.
  • Adhere to department guidelines for attendance and punctuality.
  • Assist faculty members and other employees with various clerical tasks (e.g., assembling materials for committee meetings).
  • Perform other job-related duties as assigned which pertain to the job description.
  • Ability to work a flexible schedule which includes days/evenings/weekends as needed by the department.

Physical demands

  • Sedentary (up to 10 lbs occasionally, sitting most of the time).
  • Close visual acuity (e.g., computer, assembly).

Work environment: Quiet conditions typical of an office or administrative setting.
