About the Role
Full-time secretarial support position shared between the Main Office of Eastchester Middle School and the Guidance Office of Eastchester High School. This is an 11-month, probationary position following Civil Service guidelines for the title Office Assistant (Automated Systems). To be considered, candidates must hold the civil service title or be reachable on the corresponding list of eligibles for appointment by the Westchester County Department of Human Resources.
Qualifications
- Outstanding interpersonal skills: ability to interface effectively with students, teachers, other school personnel, parents, and the general public in person and on the telephone, and to work well under pressure.
- Responsible, dependable, self-starter with good judgment, strong work ethic, and ability to maintain confidentiality.
- Excellent organizational skills: ability to handle multiple simultaneous tasks expediently and with accuracy; strong attention to detail.
- Superior technical skills: competence, combining speed and accuracy, in the use of office technology, particularly Google Suite, Microsoft Word, Excel, PowerPoint, E-School, and Infinite Campus. Knowledge of IEP Direct preferred.
Responsibilities
- Provide clerical and administrative support to the Middle School Attendance Office and High School Guidance Office.
- Utilize Microsoft Office, Google Workspace, Infinite Campus, and other automated applications to prepare correspondence, reports, forms, and maintain records.
- Maintain accurate and confidential electronic and paper files, records, and databases in accordance with district policies.
- Assist students, parents, staff, and the public by providing information, responding to inquiries, directing visitors, and answering and routing telephone calls.
- Receive, screen, and distribute incoming mail and prepare outgoing correspondence and mailings.
- Schedule appointments, meetings, workshops, and other events, and prepare related materials as needed.
- Review forms and applications for completeness and process them in accordance with established procedures.
- Compile and retrieve information for reports, correspondence, and administrative requests.
- Maintain attendance and guidance records, including student files, in compliance with district procedures and confidentiality requirements.
- Coordinate office operations, order supplies, assist with technology/software distribution, and support departmental projects as assigned.
- Assist other office personnel and perform related clerical duties as assigned by the supervisor.
- Perform other duties and responsibilities as assigned in support of the Middle School Main Office and High School Guidance Office.

7:30 A.M. – 3:30 P.M.
Pay
Salary range: $41,653–$64,596.
