Join the State of Connecticut, Department of Administrative Services (DAS) as an Office Assistant within the Fleet Operations Division. Fleet Operations manages, maintains, and assigns state-owned motor vehicles for official business use.
Location: 60 State St., Wethersfield, CT
Schedule: Full-Time (40 hours), First Shift (7:00 A.M. - 3:30 P.M.), Monday - Friday
About the Role
As an Office Assistant, you will provide a full range of clerical tasks supporting the Fleet Operations Division, including phone coverage, mail handling, and other clerical support duties. This role performs a variety of clerical functions such as typing, filing, correspondence, report writing, and processing documents.
Responsibilities
- Perform a full range of general clerical duties, including:
- Typing: Type various materials; enter and retrieve data using computers and other electronic equipment.
- Filing: Set up and maintain office procedures, filing systems, and forms.
- Correspondence: Compose routine correspondence.
- Report Writing: Compile and generate technical, statistical, or financial reports.
- Interpersonal: Provide general information and referral services; respond to inquiries from other work units or agencies; apply agency policies and state statutes in determining case status.
- Processing: Maintain calendars, process documents, verify information, prepare payment lists, billing invoices, and purchase requisitions; receive and verify shipments; maintain inventory and order supplies; use electronic equipment for job functions.
- Lead lower-level employees in carrying out assigned clerical functions, as needed.
- Perform related duties as required.
Requirements
- Two (2) years of general clerical work experience.
- College training may substitute for experience at a rate of fifteen (15) semester hours equaling one-half (1/2) year of experience, up to a maximum of two (2) years.
Preferred Qualifications
- Experience performing administrative duties such as maintaining records, scheduling work, processing documents, coordinating communications, and entering data in support of vehicle maintenance, fleet operations, and automotive repair.
- Experience organizing and managing priorities with competing deadlines.
- Proficiency with Microsoft Office applications including Word, Excel, and Outlook.
- Ability to work independently and collaboratively to support business operational needs.
- Attention to detail in reviewing and processing work orders, invoices, purchase orders, vehicle service records, and warranty documentation.
- Experience communicating with internal staff, external vendors, and other stakeholders.
Skills
- Knowledge of office systems and procedures, including telephone usage and filing.
- Strong interpersonal, oral, and written communication skills.
- Ability to perform arithmetical computations.
- Proficiency in operating office equipment, including computers, tablets, and other electronic devices.
- Ability to operate office suite software.
- Ability to schedule and prioritize workflow.
- Ability to read and interpret complex instructions.
