POSITION SUMMARY

The Night Auditor is responsible for ensuring timely, accurate recording of property revenues. Prepares for next day business while creating an excellent first impression for the guests of Oxford Collection of hotels while maintaining sanitation and cleanliness standards.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Administration (60%):
    • Verifying and posting charges to guest accounts if needed, verifying room rates match posting details, and verifying that charges are posted to the correct departments
    • Completing all reports generated by RoomKey and distributing them to appropriate departments
    • Ensuring direct billings are posted to the general ledger timely, including meeting room charges
    • Performing full system backups and assigning wake-up calls
    • Maintaining awareness of room inventory at all times
    • Reporting guest incidents to the property management team
    • Accurately counting and managing bank transactions, reporting any discrepancies to management
    • Running audit reports/journals from the front office system, Point of Service, and the computer
    • Making corrections and adjustments and handling all computer problems that might occur throughout the shift
    • Balancing all revenue and settling accounts nightly, maintaining files, and resetting the system for next day operations
    • Entering all maintenance issues and requests into the maintenance tracking system
  • Guest Services (30%):
    • Assisting guests with arrival and departure from hotel, including occasional bell or valet assistance as needed, while providing positive guests experiences
    • Always providing a high level of customer service, taking time with our guests to ensure every aspect of their stay is up to expectations
    • Registering guests, verifying registration details, and managing key control
    • Responding to guest inquiries, special requests, and concerns, ensuring optimal levels of guest satisfaction and repeat business
    • Maintaining confidentiality of all guests and hotel information
    • Maintaining availability to guests at the front desk
    • Handling cash and credit card transactions, processing guest accounts upon checkout in an efficient and accurate manner, reporting any discrepancies to property management team
    • Resolving guest issues using our guest recovery method
    • Promptly answering the telephone using positive and clear communication
    • Inputting messages into the computer
    • Maintaining high standards of personal appearance and grooming, which includes wearing the proper uniform and nametag
    • Being knowledgeable about and able to respond to emergency situations
  • Other (10%):
    • Completing a daily activity log with pertinent shift information for co-workers and leadership team
    • Adhering to attendance policies and maintaining regular availability for scheduled shifts
    • May be required to train on other shifts for coverage as needed
    • May participate in the drivers program or other hotel-related duties as assigned
    • Additional tasks may be assigned, modified or changed as no employee has any inherent right to any particular job or authority

JOB REQUIREMENTS

  • Proof of eligibility to work in the United States
  • Reliable transportation to and from work
  • Ability to work a flexible schedule including evening, weekends and holidays
  • Regular and reliable attendance
  • Physical Requirements:
    • Must be able to stand on feet throughout work hours
    • Must be able to perform simple grasping, fine manipulation, and repetitive hand and arm movements frequently
    • Must be able to bend, squat, crawl, kneel, push, pull, and walk on uneven surfaces on an occasional basis
    • While primarily an indoor job, must be able to walk outside in a variety of weather conditions (rain, wind, snow, heat)
    • Must be able to climb stairs both inside and outside and frequently lift 20 lbs. and occasionally up to 50 lbs

PREferred EDUCATION & EXPERIENCE

  • High School Diploma or GED preferred
  • Prior experience in customer service or hospitality is beneficial but not required
  • On-the-job training will be provided
  • Familiarity with basic computer applications such as Microsoft Office is advantageous
  • Any previous experience in a front desk, reception, or related role is a plus but not mandatory
