About the Role
The Front Desk Night Clerk serves as an ambassador to the hotel, handling all check-in and check-out processes, answering incoming calls, and upholding guest service standards. This role includes nightly accounting duties and acting as a "Runner" for housekeeping needs during the overnight shift. You will compute, classify, and record numerical data to maintain complete financial records, verify figures, and ensure accuracy in business transactions.
Responsibilities
- Resolve guest complaints to ensure satisfaction.
- Maintain comprehensive knowledge of hotel features, services, room types, rates, promotions, and availability.
- Monitor and maintain cleanliness, sanitation, and organization of assigned work areas.
- Manage the bank, including counting, securing, and maintaining it at all times.
- Read and record pertinent information in the log book daily.
- Process currency exchange, payments, adjustments, rebates, and credits to guest accounts.
- Operate and maintain security of the Property Management System (P.M.S.).
- Verify and correct the Room Rate Report, post and audit banquet charges, and adjust outside vendor activity.
- Reconcile telephone calls and miscellaneous accounts, and back up computer system files.
- Close and log open checks in the Point of Sale (P.O.S.) system, and print end-of-day reports for Food & Beverage.
- Audit cashiers' work (Rooms, Food & Beverage, Banquets, Bars) and correct discrepancies.
- Verify package postings on house accounts and input all sales figures into the P.M.S., balancing all accounts.
- Run Room & Tax reports, verify Cashiers Report against drop logs, and record room statistics.
- Close the P.O.S. system, run the end-of-day program, and ensure interfaces are operational.
- Run and distribute daily Flash Reports, morning reports, and backup reports.
- Print and distribute express check-out folios, brief relief, and review the Night Audit checklist.
- Restock printers, deposit payments and checks, and review the status of assignments with the oncoming supervisor.
- Document maintenance needs via work orders and submit them to the Manager/Supervisor.
- Attend monthly department meetings and training sessions as required.
Requirements
- High School Graduate or General Education Degree (GED).
- One year of previous experience in a similar position in a hotel.
- Ability to work the overnight shift (11 PM – 7 AM).
- Basic computer skills.
