Responsible for leading two sites, managing the overall operations of Urgent Care facilities, and ensuring the WellNow mission, vision, culture, and strategy for taking care of patients. The Multi-Site Manager oversees daily operations including patient satisfaction, revenue, profitability, site organization and inventory, employee engagement, clinical team member selection, performance, and development. Provides expertise to ensure all patients receive high-quality, efficient care.

Responsibilities

  • Identifies opportunities for improvement and executes action plans approved by the Regional Director of Operations.
  • Oversees onboarding, training, and cross-training of all site team members to ensure adherence to policies, procedures, and standards.
  • Directly manages all site team members and activities to ensure timely delivery of services.
  • Communicates job expectations and conducts individual and team coaching for new and tenured employees.
  • Ensures adequate staffing coverage, including managing call-offs and shift adjustments.
  • Facilitates team briefs and monthly meetings to communicate expectations.
  • Monitors patient flow to ensure efficient operations and high-quality care.
  • Reduces wait times by supporting teams to expedite patient flow and utilizing surge protocols.
  • Collaborates with Providers to optimize patient care delivery.
  • Actively recognizes and rewards team members for meeting goals and demonstrating company values.
  • Ensures compliance with OSHA standards and housekeeping/preventative maintenance schedules.
  • Completes and oversees daily "Multi Site Manager Checklists" for tasks and delegation.
  • Partners with Talent Acquisition to assess, select, and hire clinic team members.
  • Manages performance of the entire site team, including reviews, coaching, and accountability plans.
  • Gathers and escalates feedback from clinics to address meaningful issues.
  • Maintains a patient-friendly clinic environment with staff trained in respectful and friendly service.
  • Resolves patient grievances and complaints using established grievance policies.
  • Drives a culture of compassion and respect for patients, visitors, and staff.
  • Oversees occupational medicine at the site.
  • Manages site metrics, including patient satisfaction, visits, and expenditures.
  • Addresses performance deficiencies related to site metrics and holds team members accountable.
  • Manages accounts receivables and bad debt for the site.
  • Submits weekly supply orders, reviews scheduling for errors, and updates EMR as needed.
  • Submits, reviews, and corrects required reporting and reviews budgeted expenses.
  • Ensures a safe and clean facility compliant with OSHA standards.
  • Leads the execution of urgent care goals and objectives with the Provider Lead.
  • Creates and manages work schedules for clinical positions, ensuring adequate staffing.
  • Manages employee timekeeping, attendance, and absence approvals.
  • Performs weekly office ordering for supplies and manages non-centralized vendor payments.
  • Tracks labor costs and medical/office supply expenses against budget.
  • Presents in clinics a minimum of 5 days a week, including days, nights, and weekends based on site needs.
  • Manages and tracks operational performance for providers, ensuring timely completion of charts.

Requirements

  • 3+ years of experience in a healthcare environment; clinical experience preferred.
  • Ability to work alternate shifts and float to other clinic locations as needed.
  • Participates in weekend rotation within the region as assigned.
  • Ability to work both independently and in a team environment.
  • Strong interpersonal and communication skills.
  • Detail-oriented and well-organized.
  • Microsoft Office experience.
  • Reliable transportation; travel required (~50%).
  • Ability to work a flexible schedule, including evenings and weekends (clinics open 7 days a week, 7 AM–11 PM).
