About the role

The YMCA of the Suncoast is seeking a magnetic, meticulous, mindful Member Service superhero to take customer service efforts to the next level. The Member Services Representative delivers exceptional customer service to members, guests, and program participants, creates a friendly and welcoming environment, responds to general questions, assists with membership changes or transactions, and contributes to membership sales by giving tours, promoting memberships, and providing information about programs and events.

Under the direction of the Membership Director/Coordinator and consistent with the mission of the YMCA of the Suncoast, the Membership Trainee will work toward meeting all requirements of the Member Specialist I position within 60 days from hire date. The position cultivates relationships with all members and potential members, provides services including membership and program receipting, conducts tours and follow-ups, handles member phone inquiries, and assists the Membership Director with relationship-building activities.

Responsibilities

  • Within 60 days of hire date, complete all requirements of Member Specialist I Position.
  • Build relationships by:
    • Creating a warm and welcoming environment.
    • Educating members and prospective members about YMCA services and connecting them to the YMCA.
    • Introducing yourself to all members, learning names, and introducing members to each other.
    • Thanking members for allowing the YMCA to serve them.
  • Assist members and prospective members at the welcome desk by:
    • Receipting new memberships into Active.
    • Entering financial and payment information into Active.
    • Making Photo ID cards for all YMCA facility members.
    • Conducting facility tours to assess members' needs and performing follow-up.
    • Assisting with wellness center orientation reservations.
    • Handling phone inquiries regarding membership and program information.
    • Inputting program registrations through receipting.
    • Assisting members with program questions and inquiries.
    • Filing necessary paperwork.
  • Perform various clerical duties.
  • Help develop and participate in Member Appreciation/Retention activities.
  • Assist with annual membership data audit.
  • Create a nurturing and safe environment by reporting suspicious activity.
  • Maintain supplies, cleanliness of the facility, and care for equipment.

Requirements

  • Minimum of 17 years of age.
  • High school graduate or equivalent required; college degree with emphasis in Marketing or Communications preferred.
  • At least 1 year of previous customer service experience.
  • Broad overview of the YMCA as a local, national, and international movement preferred.
  • Upon hire, must complete Intro to Y's Cause & Culture, Y's Way to Service & Engagement, and I Hear You: Service with CARE trainings.
  • Must work towards meeting the criteria of the Member Specialist I position within 60 days of hire date, including:
    • Foundations of Listen First with Listen First Skills Assessment.
    • Get SMART.
    • Three Keys to Successful Family Engagement.
    • Living our Cause for Frontline Leaders.
    • Cause Driven Tour Workshop with Post Workshop Evaluation.
    • Active.net Skills Assessment.
  • CPR, AED, and First Aid certification preferred.

Skills

  • Excellent communication and interpersonal skills.
  • Personal computer and data entry knowledge; must type 30 words per minute and be proficient in Microsoft Office.
  • Strong organizational skills and a positive attitude.

Physical and Mental Requirements

  • May be required to lift and carry up to 30 lbs (e.g., boxes of supplies).
  • Will be required to stand and/or sit for extended periods while demonstrating manual dexterity to work on phone, computer, and other equipment.
  • Must be capable of remaining professional when dealing with members, customers, and co-workers.
  • Must possess auditory, visual, and verbal abilities to communicate via phone and in person and to operate standard office equipment.
