Membership Coordinator (Bedford-Stuyvesant YMCA)

Key Responsibilities
- Conduct the daily audit of transactions that occurred on the previous day/s at the branch, including registrations, cancellations, and holds.
- Run and review the expected Credit Card Draft reports.
- Run and review the Bank and Credit Card Exception reports.
- Run the Adult Member Renewal Notice reports.
- Send out standard renewal notices for monthly memberships and annual invoices 6 weeks prior to the renewal dates.
- Handle in-person inquiries, calls, and emails from members.
- Assist the Membership Sales & Engagement Director with reviewing timecards in ADP e-Time.
- Track and file award letters for financial aid to member accounts under the supervision of the Membership Sales & Engagement Director, for audit purposes.
- Prepare facility access declination report.
- Contact members with access denied due to the pending collection of past due balance.
- Review the aging report (either sent by the Association Office or downloaded from AS400) and cancel memberships that are over 60 days past due.
- Assist the Membership Sales & Engagement Director with preparing for membership staff meetings (agenda, minutes, etc.).
- Prepare the staff schedule for the Membership Sales & Engagement Director’s approval.
- Aid in hiring, training, and developing staff.
- Attend and participate in various branch and/or Association events and meetings.
- Review table files for accuracy.
- Handle purchasing and requisitions.
- Maintain inventory of supplies, forms, membership cards, staff uniforms, etc.
- Assist with scheduling rentals and processing payments.
Desired Skills & Experience
- Bachelor’s degree or equivalent work experience required.
- Bachelor’s degree in business administration preferred.
- Must be at least 21 years of age.
- Minimum of three (3) years of experience working in a fast-paced administrative setting.
- Three (3) years of experience in a hospitality setting preferred.
- Computer literate.
- Working knowledge of Microsoft Office Word and Excel.
- Excellent interpersonal and organizational skills.
- Ability to work in a fast-paced environment.
- Strong written and oral communication skills.
- Must be available Monday through Friday from 11:00 am to 7:00 pm.
