Responsibilities
- Oversee assigned staff within a designated area of the Department's operations
- Work with the Office Manager and/or designee to develop procedures and processes to appropriately manage and maintain patient medical records
- Help to plan and organize the responsibilities of assigned staff to increase efficiency and best utilize the staffs’ skills and abilities
- Help to set goals for assigned staff and motivate staff to accomplish the goals
- Organize contents of patient records in accordance with specified chart order to facilitate clinical data retrieval, both manual and electronic
- Manage the on-site and off-site medical records storage to ensure that patient medical records are well organized for ready retrieval
- Implement, import, and manage all scanned chart documents from multiple offices; continue to solve system problems and difficulties for satellite office personnel
- Maintain an in-depth knowledge of principles, practices, standards and techniques, and demonstrate knowledge in accordance with Practice policies and procedures within pertinent laws and regulations in the following areas: chart processing, electronic systems, chart filing, department quality measures, release of information, and access to records for continuing care
- Review requests for the release of medical records to ensure the request is appropriately completed and signed; when necessary, contact patient or staff member to resolve issues
- Ensure that requests for patient billing information are brought to the attention of the appropriate Financial Services staff member; obtain patient billing records prior to releasing medical records for scanning to ensure a complete package of medical and financial records
- Review and prepare patient medical records and compare against the medical records request to ensure that all requested records are available for scanning
- Communicate on a regular basis to ensure seamless operations and services
- File, purge and manage patient charts
- Perform confidential administrative functions including developing and typing written correspondence; respond to routine external correspondence
- Adequately staff and ensure assigned staff are present and working
- Assist Supervisor in the training and orientation of new staff; train existing staff on new or revised program policies and procedures
- Under the direction of the Supervisor/Manager, conduct individual supervision/counseling sessions for assigned staff and complete all necessary documentation
- Write and administer performance appraisal evaluations under the supervision of the Supervisor
- Work with assigned staff to correct performance problems using established systems
Requirements
- High School diploma required; Associates or Bachelors degree preferred
- Two years of supervisory experience preferred
- Demonstrated leadership skills
- Excellent interpersonal skills, and the ability to form professional relationships with multi-cultural patients and their families, physicians, subordinate staff, and other supervisors
- Able to communicate accurately and concisely
- Willing and able to manage conflict
- Ability to work well independently, and demonstrate good judgment along with the ability to function as a member of a multi-disciplinary healthcare team
- Well organized, ability to plan, supervise and motivate staff
- Knowledge of clinical operations, program operations, computer software, and equipment
Skills

Monday through Friday, from 9:00 AM to 5:30 PM
