About the role

This Variable Staffing Pool (VSP) position supports CenterWell medical offices by delivering exceptional front-desk service on a flexible, as-needed basis. Hours vary based on clinic needs, with a typical schedule up to 20 hours per week; actual weekly hours may fluctuate depending on staffing requirements across locations. The role requires travel and floating between CenterWell clinics throughout Middle Tennessee, including locations as far west as Bellevue, north as Clarksville, east as Lebanon, and south as Murfreesboro. Mileage reimbursement is provided for eligible travel.

Responsibilities

• Welcome patients and visitors, both in person and over the phone.
• Manage appointment calendars, schedule patient visits, and coordinate with medical staff to improve schedules.
• Maintain patient records with accuracy in Electronic Medical Record (EMR) and Customer Relationship Management (CRM) systems.
• Ensure patient accounts are updated correctly; may include collecting copays at time of visit.
• Answer incoming calls, respond to patient inquiries, and provide general information.
• Keep the reception area tidy, sanitized, and well-stocked with necessary materials.
• Provide administrative support such as ordering supplies, managing office inventory, and sending courier packages.

Requirements

• 1+ year of experience in healthcare customer service; background in retail, hospitality, or call centers also considered.
• Willingness to travel and float to clinics across Middle Tennessee.
• Ability to convey information and maintain a positive tone during calls.
• Experience coordinating tasks, resources, and schedules to ensure efficient workflow.
• Proficiency using MS Office tools for reporting, data analysis, and workflow optimization.
• Experience improving patient care and experience.
• This is a patient-facing role and part of the Tuberculosis (TB) screening program; TB screening is required upon hire.

Preferred Qualifications

• Experience with EMR systems.

Pay

The starting base pay range is $38,000 – $45,800 per year, with individual pay varying based on skills, knowledge, experience, education, certifications, and geographic location.
