Job Summary
Medical Receptionists are the initial point of contact for patients, ensuring they receive a warm and welcoming experience. They play a crucial role in providing excellent customer service, managing patient information, and assisting with administrative tasks.
Job Duties And Responsibilities
- Welcome and greet patients and visitors, both in person and on the phone.
- Verify insurance/eligibility information and ensure appropriate forms are signed and dated.
- Verify patient demographics and insurance information when scheduling appointments.
- Notify back office staff when patients have arrived (if applicable).
- Prepare lab requisition forms as requested by physicians (if applicable).
- Scan Radiology and Lab requisitions to patient files (if applicable).
- Record outcomes of reminder calls made to patients scheduled for procedures, Radiology, Labs, and in-office appointments in AdvancedMD.
- Keep patient appointments on schedule by reviewing service delivery compared to schedule; notify Manager/Supervisor of service delays.
- Comfort patients by anticipating their anxieties, answering their questions, and maintaining the reception area (if applicable).
- Ensure availability of treatment information by filing and retrieving patient records.
- Help patients in distress by responding to emergencies.
- Protect patients' rights by maintaining confidentiality of personal and financial information.
- Maintain operations by following policies and procedures; report needed changes.
- Contribute to team effort by accomplishing related results as needed.
- Aid in the creation of new patient welcome packets.
- Exhibit behavior and communication skills that demonstrate LA CENTA commitment to superior customer service, including quality, care, and concern with each internal and external customer.
- Follow opening and closing switchboard procedures according to site-specific policies (if applicable).
- Handle all phases of telephone communications, including scheduling in-office appointments, allergy testing, and obtaining test authorizations.
- Routinely forward messages and handle emergency calls appropriately according to site-specific policies.
- Maintain accurate directories of providers' phone numbers.
- Maintain accurate daily schedule and communicate as appropriate.
- Maintain awareness of duties of each department in order to process calls efficiently.
- Act as translator as needed with patients and as requested by physicians (if applicable).
- Absorb and enter information into the EMR system.
- Request patient records as needed for physicians (if applicable).
- Inform physicians when consults are requested.
- Report urgently needed switchboard equipment repairs to Supervisor/Manager.
- Use, protect, and disclose patients’ protected health information according to HIPAA guidelines.
- Adhere to safety policies and procedures at all times.
- Perform other duties as assigned.
Requirements
- High School Diploma/GED Required
- 1-2 years operator PBX/switchboard experience
- At least 1 year of front desk/patient experience in a medical setting
- Bilingual - Fluent in English & Armenian preferred
- Ear Nose Throat & Allergy specialty clinic experience preferred
- General knowledge of HIPAA and CPT codes
- Reliable transportation and ability to travel within various Los Angeles based clinics as needed
- Excellent communication skills with patients, physicians, and staff
- Excellent organizational, interpersonal, and decision-making skills
- Ability to work in a relatively unsupervised environment with a high degree of accuracy
- Computer literate and able to type at least 40 wpm
