Medical Office Manager, Scheduling

Responsibilities

  • Operations Scheduling and QGenda Management
  • Assist with filling holes in schedules.
  • Communicate scheduling needs to relevant parties.
  • Maintain QGenda to reflect new hires and removals.
  • Ensure QGenda data is updated after schedule changes.
  • Ongoing Credentialing Review
  • Manage lists of expiring or expired credentialing items.
  • Collaborate with various teams to ensure practitioner credentials are up to date.
  • Recruitment
  • Participate in facility-related recruitment calls.
  • Work with recruitment teams to address clinician recruitment needs.
  • Input and give access to QGenda to clinicians.
  • RCM
  • Provide backup assistance to the Billing Administrator.
  • Complete training to thoroughly scrub charts.
  • Follow chart batching and scanning processes.
  • Ensure data streams are complete, accurate, and contain required information.
  • Interact with hospital staff to obtain additional information.
  • Quality Clinical Audits
  • Facilitate and support clinical practice audits.
  • Run outcome forms reports daily.
  • Give weekly updates on outstanding forms.
  • MTC Reporting
  • Login to MTC weekly to complete transcriptions.
  • Respond to Red Alerts within 48 hours.
  • Ensure timely completion of F/OPPEs.
  • Education/Experience
  • Bachelor’s degree preferred, or 2-5 years’ equivalent experience.
  • Prior experience in a medical administrative or adjacent role highly preferred.

Qualifications

  • Strong organizational skills with a problem-solving attitude.
  • Strong interpersonal & communication skills (both written and verbal).
  • Proficiency in Microsoft Word (Intermediate/Advanced), Outlook (Intermediate), Zoom (Intermediate), Excel (Intermediate/Advanced), PowerPoint (Intermediate/Advanced).
  • Availability: Monday – Friday, 7:00am – 3:30pm.
  • Must be available to occasionally cover nights and/or weekends as needed.
  • Location: Must be able to reliably travel within and between each hospital location mentioned in the Position Description.

$55,000 - $70,000 / year, commensurate with experience.

Schedule

Monday - Friday, 7:00am - 3:30pm.
