About the Role
This position provides medical and clinical support services to patients, ensuring continuous, efficient, and smooth patient flow in an outpatient/ambulatory setting. The role serves as a patient liaison through both clinical and administrative responsibilities, playing a key part in the revenue cycle process, clinical operations, and patient experience. The position responds to hourly variations in patient volume, clinician, and room availability to maximize efficient use of space and resources.
Responsibilities
- Controls and monitors patient flow to maximize efficient use of providers and exam rooms; communicates delays to patients and providers.
- Responds to variations in patient volume, provider availability, and resources by adjusting room utilization and assignments.
- Prepares medical records for patient visits, confirming accuracy with patient identifiers, entering chief complaints, and social history; may interview patients to obtain data.
- Provides a high degree of customer service in all interactions with patients and internal/external customers.
- Ensures a safe, comfortable, and clean environment for patients and families.
- Escorts patients to exam rooms and prepares them for provider visits, including pediatric, adult, or geriatric patients; ensures patient comfort, privacy, and safety.
- Completes fall risk assessments and may monitor patients requiring observation.
- Prepares exam rooms according to the needs of each patient’s visit.
- Assists and/or chaperones providers/nursing staff with physical exams, treatments, and procedures.
- Performs and records vital signs (blood pressure, pulse, temperature, oxygen saturation, height, and weight), pain levels, and reviews medication lists with patients.
- Performs collection of specimens and ensures necessary supplies and equipment are ready for provider use.
- Performs Point of Care Testing (POC) as ordered, including urine dips, HCG testing, Strep A, HGB A1C, and glucose testing; performs quality control checks on equipment.
- Assists in arranging diagnostic testing and surgical procedures under the direction of a nurse or physician.
- Ensures accurate patient billing by verifying CPT codes, diagnosis codes, and documenting all supplies and procedures.
- Scans outside paperwork into the patient’s electronic medical record.
- Processes and tracks referrals and prior authorizations as requested/ordered by the provider; notifies providers of patient requests for referrals and prescription renewals.
- Stocks, maintains, and rotates medical supplies in clinic rooms daily; monitors expiration dates and orders supplies as needed.
- Participates in unit-specific quality improvement projects (e.g., handwashing audits, time-outs, refrigerator/medication logs, code cart checks).
- Provides administrative support, including coordinating interpreter services, answering and forwarding telephone calls, taking accurate messages, and faxing.
- May be asked to cover satellite locations.
Requirements
- High School Diploma or equivalent.
- Completion of a Clinical Program OR six (6) months of clinical experience in a healthcare setting.
- Basic Life Support Certification OR obtain within three (3) months of hire.
Preferred Qualifications
- Two (2) years of medical office experience.
- Bilingual.
- Experience with electronic medical record systems.
Physical Requirements
- Occasional lifting of 30-35 pounds and turning of patients.
- Prolonged standing and walking.
- Occasional twisting, bending, reaching, pushing/pulling, sitting, kneeling, and squatting.
- Exposure to infectious diseases and possible carcinogenic chemicals.
- Exposure to blood-borne pathogens.
- Requires fine manual dexterity to lift and maneuver patients.
- Requires visual and aural acuity necessary to monitor patient care.
Skills & Abilities
- Demonstrates organizational skills and attention to detail.
- Ability to prioritize work and complete tasks in a timely manner.
- Works independently and accurately with excellent follow-through.
- Basic to moderate computer skills, including documents, spreadsheets, email, and automated scheduling software; ability to navigate electronic medical record systems.
- Ability to read, write, and spell in English to ensure accurate message-taking and documentation.
- Good interpersonal skills.
- Knowledge and ability to use universal precautions and patient handling techniques.
- Knowledge of Epic or similar electronic medical record systems.
- Skills and knowledge to provide care to patients across the lifespan, considering aging processes, human development stages, and cultural patterns.
- Knowledge of growth and development; ability to interpret age-specific data and responses to care; provide age-specific communication.
- Maintains sensitive and confidential patient information according to HIPAA.
Pay
Base pay range: $20.12 - $25.15 per hour. Individual offers are determined using a comprehensive approach that considers relevant experience, certifications, education, skills, and internal equity.
