Manager, Faculty & Administrative Affairs
About the role
The Manager of Faculty and Administrative Affairs serves as a strategic partner to the departments of Obstetrics, Gynecology and Reproductive Sciences (OBGYN) and Urology. This position delivers high-quality guidance on matters related to faculty, staff, students, and scholars to support the advancement of the overall missions of both departments. The Manager collaborates with departmental chairs, faculty leaders, and Yale School of Medicine (YSM) leaders to manage faculty appointments, promotions, recruitment, and credentialing. This role oversees faculty and staff lifecycle processes, including onboarding, offboarding, and visas, and supervises a team of support staff. The position is part of the Emergency Medicine, OBGYN, Ophthalmology, and Urology Integrated Business Office (IBO) and partners regularly with IBO staff, division administrators, and other departments such as Yale Medicine, Yale New Haven Hospital, and Central Human Resources.
This position is hybrid, requiring 3 days per week onsite.
Responsibilities
- Reviews and determines staffing needs, job posting requirements, salary guidelines, and labor agreement interpretations for exempt and non-exempt staff.
- Manages administrative support needs for exempt and non-exempt staff, providing recommendations and solutions as needed.
- Manages and monitors technology needs, conducts inventory, and ensures system requirements for assigned departments.
- Develops and prepares budgets, financial forecasts, and financial analyses, including actual vs. budgeted performance reports.
- Manages the use of facilities, including office space, workstations, equipment, and office supplies.
- Ensures timely completion of projects by managing administrative support for departmental activities.
- Coordinates training sessions for assigned departments when new policies or practices are adopted.
- Ensures compliance with University and federal regulations for assigned departments.
- Identifies, plans, and develops administrative policies for assigned departments.
- Assists in reviewing and implementing University and departmental policies related to administrative functions.
- Assesses and makes recommendations regarding staff development and staffing levels.
- Conducts systematic research on user requirements through surveys, interviews, focus groups, and competitive analysis.
- Manages a staff of exempt and non-exempt employees.
- Performs other duties as assigned.
Requirements
- Bachelor’s Degree in a related field and three years of related experience or an equivalent combination of education and experience.
- Demonstrated experience in faculty affairs or human resources in an academic or healthcare setting.
- Proven experience with faculty recruitment, appointments, reappointments, credentialing, and related processes.
- Strong interpersonal skills for developing relationships with faculty, leaders, staff, and stakeholders.
- Excellent written and verbal communication skills, with the ability to influence others.
- Ability to independently and proactively handle complex issues with sound judgment and attention to detail.
- Proven skills in decision-making, organizing, planning, problem-solving, and conflict management.
- Ability to prioritize and multitask in a fast-paced environment.
- Advanced computer skills, including proficiency with Microsoft Word, Excel, PowerPoint, and Outlook, and the ability to learn new systems quickly.
Preferred Qualifications
- Proven experience managing and developing a team.
- Demonstrated experience with Workday, Interfolio, and Salesforce.
Pay
Salary range: $68,000.00 - $120,500.00.
