Mailroom Coordinator
What this job involves
JLL is seeking a Mailroom Coordinator to support mailroom operations and the receiving dock for their prestigious Pinterest account at 11 Madison Avenue in New York City. This client-facing role requires exceptional customer service and communication skills as you serve as a key point of contact for employees, vendors, and guests. You will manage all aspects of mail and package handling, including receiving, sorting, and distributing incoming deliveries, preparing outgoing shipments, and maintaining an organized, efficient mailroom environment. What your day-to-day will look like
- Sort and distribute incoming mail and packages to various departments using an automated tracking system
- Prepare outgoing mail and packages, create shipment labels, and perform quality checks on all dispatches
- Pick up mail from the post office and deliver it in a timely manner
- Track, trace, and resolve mail delivery issues with USPS and express carriers
- Order and maintain office and cleaning supply inventory, verifying invoices for accuracy
- Organize and maintain a clean, efficient mailroom workspace
- Collaborate with the facility management team to maintain the site and support event setup
- Dispatch work orders to vendors as needed and anticipate client needs proactively
Required Qualifications
- A high school diploma or GED
- Minimum two years of related mailroom, logistics, or facility support experience
- Valid driver's license and reliable transportation
- Proficiency in Microsoft Office (Word, Excel, Outlook), including calendar and scheduling features
- Strong written and verbal communication skills with ability to read and comprehend instructions, correspondence, and memos
- Excellent customer service skills with ability to greet and assist others in a courteous, responsive manner
- Strong problem-solving abilities and sound decision-making under time pressure
- Ability to work effectively in a team environment with strong interpersonal skills
Preferred Qualifications
- Experience with Google operating systems and applications
- Familiarity with courier systems (FedEx, UPS, DHL, etc.)
- Self-motivated and proactive work style with ability to identify and resolve issues independently
- Previous experience in a corporate mailroom or workplace services environment

Monday – Friday, 9:00 AM – 5:30 PM (40 hours per week)
Pay
$60,000 annually
