Key Responsibilities
- Handles filing: Federal, State, Appeals and E-Filings.
- Preliminarily prepares correspondence, memoranda and other legal documents from written and oral drafts.
- Drafts standard correspondence, and other documents.
- Prepares discovery and pleading shells and assists with document productions.
- Aids in trial preparation, including trial and exhibit binders.
- Finalizes letters, motions, pleadings and discovery forms.
- Opens new matters, requests conflicts of interest checks, updates and maintains legal files.
- Ensures that calendar deadlines items get to docketing clerk in a timely manner.
- Processes expense reports, check requests, enters partner billable time and reviews client prebills.
- Arranges travel, coordinates meetings and conference calls across various offices and time zones.
- Performs overload typing, filing, photocopying, or reception relief as time permits and as requested by other attorneys, the HR Director or the Administrator.
- Receives clients and visitors, observes confidentiality of attorney-client relationship.
- Performs other duties as assigned.
Qualifications
- Ability to read and write in order to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters.
- Perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent.
- Familiarity with Federal, local and E-Filing rules.
- Familiarity with File & Serve and CCC Macros is a plus.
- Familiarity working in Labor & Employment is a plus.
- Ability to transcribe legal documents, correspondence and reports from rough draft or dictation at a level of 70 wpm.
- Proactive with the ability to multi-task and organize a busy desk.
- Ability to proofread typed material for grammatical, typographical or spelling errors.
- Interpersonal skills necessary in order to communicate and follow instructions effectively from a diverse group of clients, attorneys and staff to provide information with ordinary courtesy and tact.
