About the role

The main purpose of this position is to act as secretary to the Director and perform many administrative duties in fulfilling the operating objectives of the Office of Cemetery Oversight.

Responsibilities

  • Coordinates the application/reapplication process for applicants for licensure and maintains various files: licensing, terminations/withdrawals, trust reports, and other miscellaneous files.
  • Types and copies all correspondence and memoranda.
  • Verifies, approves, inputs each licensee's information into the AS400 assigning permanent license registration numbers, creates and maintains individual licensee's permanent files and business licensees permanent files, processes and emails/mails all applications/information (invoices/renewals, and licenses) for the Office of Cemetery Oversight; updates addresses by way of online and manual deposits.
  • Opens all mail (electronic and paper) and distributes it to all appropriate persons on a daily basis.
  • Emails monthly meeting notices to the Maryland Register.
  • Prepares agenda for all Advisory Council Meetings and other business materials for Council meetings, attends all Council meetings, records minutes of all meetings.
  • Drafts minutes, types final minutes and photocopies/mails/emails correspondence needed for informing Council members and other appropriate persons prior to monthly Council meetings.
  • Drafts correspondence when returning incorrect applications or license materials received by the Office.
  • Compiles and maintains all office records and other related statistical information and documentation; does filing (google) of current licensees, terminated/withdrawn licensees, trust reports, and other related documents and information.
  • Handles all telephone calls, emails, faxes and walk-in contacts made by licensees, consumers, potential licensees and businesses on a daily basis.

Requirements

  • Graduation from an accredited high school or possession of a high school equivalency certificate.
  • Two years of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

  • Candidates may substitute 30 college credit hours from an accredited college or university for each year of the required experience.
  • Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

Preferred Qualifications

  • Knowledge of Microsoft and Google Suites.
  • Knowledge of AS400 system.
  • Experience with licensing.

Special Requirements

  • Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.
  • All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (LABOR/DUI) to determine whether any monies are owed to LABOR/DUI as a result of unemployment overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.
