Summary of Job Duties

The Administrative Specialist III provides support to Revenue Cycle Administration, specifically but not limited to Centralized Billing. Responsibilities include administrative duties for the CCBO front office to include human resources, payroll, and outside service activities; mail management and distribution; receipt, processing, and distribution of high volumes of received faxes; supply inventory procurement and management; procurement of services and other goods; administrative support to the senior director, directors, management team, and senior business manager. The Administrative Specialist III is responsible for answering phones and directing calls to the appropriate department; tracking and maintaining department calendars; processing expense reports for department courier(s) and other duties as assigned.

Qualifications

Minimum Qualifications:

  • High School diploma plus 3 years of administrative experience required.
  • OR Bachelor's degree, major in Business Administration or related.
  • Must know MS Office (Word, Excel and Outlook)
  • Must be proficient in the use of office machines, including printer, faxes, computers and telephone.

  • Kronos Experience
  • Experience in a medical or healthcare environment.

Responsibilities

  • Performs administrative duties for Revenue Cycle, cover the front office which includes support to the department administrator, senior directors and managers.
  • Answers phones and direct calls to the department or person who may best address the call; receive and send packages from various vendors, sort and direct incoming mail, returned mail.
  • Process incoming faxes, noting patient medical record numbers on correspondence prior to distribution; process weekly expense reports for couriers.
  • Issue and track keys and fobs, update CCBO new hire information for training and communication to the department and assembles new hire packets.
  • Order and distributes office supplies to employees as needed.
  • Help maintain updated telephone lists, track call-in activity and leave requests, advise management and update department calendar.
  • Process collection invoices (review, obtain approval to process, scan and submit) perform special projects.
  • Ensure copiers have toner and facilitate maintenance when required; to report maintenance issues for the building and follow-up.
