Responsibilities
- Draft, proofread, and format pleadings, contracts, and other legal documents with precision and professionalism.
- Manage electronic filing of legal documents in both Federal and State courts, ensuring compliance with all procedural requirements.
- Proofread, format, and assist with appellate filings, including cite-checking and document preparation.
- Cook up in-person and virtual meetings including scheduling, room reservations, catering, and IT support.
- Maintain attorney calendars and schedules, ensuring timely reminders and updates.
- Provide daily administrative and clerical support to assigned attorneys.
- Open new client and matter files and assist with related intake procedures.
- Prepare and submit electronic expense reports.
- Arrange travel itineraries and manage related logistics.
- Redline and compare documents using document comparison software.
- Organize and maintain electronic and paper files using NetDocuments.
- Analyze and save key correspondence and emails using standardized naming conventions.
- Conduct research as requested by attorneys and/or paralegals.
- Respond professionally to inquiries from clients, attorneys, and internal teams.
- Maintain strict confidentiality and demonstrate discretion in all client matters.
- Enter attorney time as required.
- Provide backup support to other team members as needed.
- Contribute to a collaborative and supportive team environment.
- Foster positive working relationships with clients, attorneys, and staff.
Requirements
- Bachelor’s degree (B.A.) with three years related experience and/or training is preferred; or equivalent combination of education and experience.
- Highly motivated and self-starter.
- Excellent oral and written communication.
- Strong project management skills with attention to detail and management of multiple deadlines.
- Work effectively in a team as well as independently.
- Paralegal or equivalent IP experience a plus.
- The candidate must have excellent knowledge of English grammar, proofreading and English composition skills as well as a disciplined eye for quality checking document accuracy.
- The candidate must be able to demonstrate a history of initiative and task ownership, must have excellent computer skills, and a strong knowledge of MS Word, Windows, Outlook, Excel, and Adobe.
- Knowledge of USPTO E-filing procedures, IP docketing programs and PatSnap are a plus.
Compensation
The estimated salary range for this role in San Francisco, California is $72,000 - $103,000. Starting salary will be determined based on qualifications and experience.
