About the Role
We are seeking a detail-oriented and highly organized Legal Clerical Support specialist to join our litigation team at a high-volume debt collection law firm. This role is integral to the day-to-day operations of our legal process, providing direct administrative and clerical support to attorneys, paralegals, and process servers. The ideal candidate is someone who takes initiative and works with a high degree of autonomy — someone who investigates service-related issues, makes confident decisions to move cases forward, and takes ownership of their work from start to finish. This person thrives under volume, stays organized across a heavy and fast-moving caseload, and brings the drive to close cases efficiently and accurately.
Key Responsibilities
- Prepare and process legal documents including summonses, complaints, affidavits of service, and motions for filing and service
- Cookinate the assignment and tracking of process service orders to ensure timely and compliant service of legal documents
- Communicate daily with process servers, clients, and court personnel to confirm case status, service completion, and filing deadlines
- Review affidavits and proof of service for accuracy, completeness, and compliance with court requirements prior to submission
- Maintain and update case management systems with service status, notes, and document uploads
- Assist with e-filing and court submissions for served cases
- Prepare correspondence, reports, and internal tracking logs as needed
- Support attorneys and paralegals with administrative tasks including document scanning, filing, and data entry
- Ensure confidentiality and strict adherence to all firm policies, FDCPA guidelines, and applicable state legal requirements
Qualifications
- High school diploma or GED required; Associate degree or legal coursework preferred
- 1–2 years of clerical experience in a law firm, court, or collections environment
- Familiarity with legal terminology, court procedures, and collection law practices a plus
- Proficiency in Microsoft Office Suite and legal case management software
- Excellent verbal and written communication skills
- Strong time management and problem-solving abilities
- Ability to work independently, investigate case-related issues, and make informed decisions to drive cases to resolution
- Comfortable taking ownership of tasks and seeing them through to completion with limited oversight
- Ability to handle sensitive information with the utmost confidentiality and professionalism
