Responsibilities
- Perform legal administrative tasks as may be assigned by attorneys or paralegals on the team in a timely manner.
- Calculate and calendar case-related deadlines for litigation matters.
- Schedule/calendar appointments such as depositions, production of documents, client meetings, trials, court hearings, and appearances.
- Prepare responses to subpoenas and records requests.
- Maintain databases for various projects.
- Contact outside sources (courts, government agencies, etc.) to obtain public information.
- Maintain and update legal files following Legal Department electronic filing system procedures.
- Affiliate with administration of Legal Department’s e-billing and matter management software (Legal Tracker/Serengeti), including creation of new matters and reviewing and responding to outside counsel inquiries regarding same.
- Review, sort, distribute, and file mail; answer telephones, record messages, and return calls as necessary.
- Perform administrative functions, such as preparing check requests for vendor statements, expense reports, and other administrative tasks as needed.
- Affiliate with paralegals with opening new matters.
Requirements
- High school diploma required.
- Associate’s or Bachelor’s degree or equivalent experience is preferred.
- 3+ years of experience as a legal secretary/assistant, legal operations, or project assistant preferred.
- Experience with Microsoft Office (Excel, Word, Outlook, PowerPoint, Teams, Sharepoint) & Adobe Acrobat Professional.
- Familiarity with e-mail scheduling tools in Microsoft Outlook and Teams.
- Familiarity with billing applications (LegalTracker/Serengeti experience a plus).
- Experience calculating litigation-related deadlines for calendaring purposes strongly preferred.
- Excellent organizational skills, strong attention to detail, efficient and productive at managing multiple priorities.
Qualifications
The good faith estimated range of pay for the above position for California-based candidates is $50,000-$70,000 depending on factors including but not limited to experience and skill. There is a target discretionary incentive bonus of 10%.
