Essential Duties & Responsibilities
- Prepare, proofread, and format legal documents, including correspondence, pleadings, and contracts.
- Scan and profile documents and correspondence into the Firm’s document management system (iManage).
- Organize and maintain electronic files and ensure proper document storage and retrieval.
- Submit conflicts requests to initiate new client and matter files.
- Enter billable time for attorneys and assist with revisions to pre-bills.
- Clock in and out for attorneys and enter time into the Firm’s time entry system.
- Coordinate and schedule travel, meetings, and appointments.
- Submit expense reimbursements in a timely manner.
- Provide overflow assistance and perform additional administrative and secretarial duties as needed.
- Support attorneys and legal staff across multiple practice areas with day-to-day administrative needs.
- Apply basic knowledge of legal terminology, documents, and court systems to support workflow processes.
- Maintain effective communication with attorneys, clients, and staff.
- Work collaboratively across teams while managing competing priorities.
- Demonstrate professionalism, discretion, and confidentiality in all interactions.
Qualifications
- A high school diploma or GED is required.
- A bachelor’s degree is preferred.
- Minimum of 3 years of administrative experience in a law firm is required.
- Proficiency in Microsoft Word (including styles), Adobe Acrobat Professional, and pdfDocs is required.
- Familiarity with Microsoft Excel, PowerPoint, and time entry systems is required.
- Experience with document management systems (iManage preferred) is preferred.
- Basic knowledge of legal terminology, legal documents, and court systems is required.
- Strong organizational, proofreading, and editing skills with attention to detail and accuracy are required.
- Excellent communication and interpersonal skills are required.
- The ability to prioritize tasks and manage multiple demands in a fast-paced environment is required.
- The ability to work independently and as part of a team is required.
- The ability to handle confidential information with discretion is required.
