Legal Administrative Assistant
About the Role
Provides administrative, organizational, and technical support to the firm, including entering time into the timekeeping system, phone reception, arranging travel and catering, scheduling meetings, and managing conference room setups. Additional duties involve e-scanning, facsimile, ECF filing transmittals, transcription, proofreading work product, compiling reports, photocopying, mail assembly, and file maintenance.
Depending on the assignment, may prepare or review patent and trademark applications, legal correspondence, complaints, briefs, motions, contracts, agreements, statements, subpoenas, wills, trusts, and summonses. Assists attorneys, paralegals, and analysts with the preparation and filing of U.S. Federal/District Court documents, patent correspondence, transmittals, and formal documents.
Projects a professional image and interacts with clients to support strong client service and relationships. Accurately drafts routine reports and correspondence. May manage timekeeper calendars (Outlook) and assist in meeting deadlines for court filings, patent applications, litigation, or other events.
Provides occasional technology support for attorneys and staff, such as connecting docking stations, monitors, desktops, printers, and other external devices with remote IT guidance. Prioritizes workload efficiently, participates in ongoing training, and stays informed of firm policies and procedures. Assists Legal Support Assistant Trainees through training, mentoring, and quality assurance.
Responsibilities
- Enter time into the firm’s timekeeping system
- Handle phone reception and provide information to callers
- Arrange travel and catering accommodations
- Schedule meetings and conference room setups
- Perform e-scanning, facsimile, ECF filing transmittals, and transcription
- Proofread work product for typographical, grammatical, or spelling errors
- Compile reports from established sources
- Photocopy, assemble, and distribute mail
- Maintain records and files
- Prepare and/or review patent and trademark applications, legal correspondence, and court documents (e.g., complaints, briefs, motions, contracts, subpoenas, wills, trusts)
- Assist with the preparation and filing of U.S. Federal/District Court documents and patent correspondence
- Draft and write routine reports and correspondence
- Manage timekeeper calendars (Outlook) and assist with meeting deadlines for court filings, patent applications, or litigation
- Provide occasional technology support for attorneys and staff (e.g., connecting devices with remote IT guidance)
- Prioritize workload efficiently and effectively
- Participate in ongoing training to enhance technical skills
- Stay informed of firm policies and standardized procedures
- Train, mentor, and provide quality assurance to Legal Support Assistant Trainees
