Responsibilities

  • Prepare, format, proofread, and finalize a variety of legal documents, including pleadings, motions, discovery materials, correspondence, court filings, and related litigation documents.
  • Manage electronic filings through NYSCEF, CM/ECF, and other court filing systems, ensuring compliance with applicable court rules, procedures, and deadlines.
  • Maintain and organize electronic and physical client files, pleadings, exhibits, and case-related materials.
  • Monitor case deadlines and proactively manage attorney calendars to ensure timely filings, court appearances, depositions, and client commitments.
  • Cook up hearings, depositions, mediations, meetings, conference calls, and other litigation-related events.
  • Communicate professionally and effectively with clients, courts, opposing counsel, vendors, and internal stakeholders.
  • Support new client and matter intake processes, including conflict checks, engagement documentation, and file opening procedures.
  • Aid with case management and litigation support, including document organization, exhibit preparation, trial preparation, and coordination of case materials.
  • Prepare and process expense reports, invoices, and other administrative or financial documentation as needed.

Qualifications

  • Minimum of five (5) years of legal administrative experience in a law firm or professional services environment.
  • Prior litigation experience required; experience supporting complex commercial litigation matters is a plus.
  • Demonstrated experience with NYSCEF, CM/ECF, and other electronic court filing systems.
  • Exceptional organizational and time-management skills, with the ability to manage competing priorities in a fast-paced, deadline-driven environment.
  • Strong document production skills, including advanced formatting, proofreading, editing, and document quality control.
  • Proactive, resourceful, and detail-oriented, with the ability to anticipate attorney and client needs.
  • Excellent written and verbal communication skills and a strong commitment to client service.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), document management systems, time-entry software, and other legal technology platforms.
  • Ability to exercise sound judgment, maintain confidentiality, and work both independently and collaboratively as part of a team.
